We are seeking a highly organized and detail-oriented Part-Time Administrative Assistant to support our Preschool Director. This behind-the-scenes role is essential in ensuring the smooth operation of the preschool by managing state licensure compliance, handling administrative tasks, and providing logistical support to the Director. This position requires discretion, efficiency, and the ability to manage multiple responsibilities with minimal supervision. Gan Yeladim Preschool boasts a unique partnership between the Jewish Federation of Greater Toledo and Chabad House of Toledo. It is truly a one-of-a kind boutique preschool, which currently serves 16 children aged 18 months to 4 years across two classrooms, with the potential to evolve into a mixed-age, one-room preschool for children 2½ to 4 years old.

We maintain a healthy, nurturing, and engaging environment for children where all social, emotional, and cognitive developmental needs are addressed. Opportunities are provided for children to take responsibility, make decisions, and learn through play.

We help children recognize the interrelationships of tangible things and ideas by focusing on the relationship of the fine arts to nature, science, math, music, and communal interaction. We encourage children to ponder, investigate, and create as a way to make meaning of the world around them. We work collaboratively with parents, and serve as a resource for support and education, engaging your children and nourishing their hearts and minds.

We welcome families of all backgrounds. Our children learn the traditions, ethics and values of Judaism as part of their education. These lessons are woven organically throughout all of our activities and become a meaningful and treasured part of each child’s personal experience

POSITION RESPONSIBILITIES

  • Ensure compliance with all state licensure requirements, including maintaining records, submitting necessary paperwork, and coordinating inspections.
  • Assist in managing preschool enrollment and maintaining student and staff files in accordance with regulatory guidelines.
  • Handle communication with state agencies regarding licensing and compliance matters.
  • Support the Director in administrative tasks such as scheduling, document organization, and supply ordering.
  • Assist with budgeting and tracking expenses related to licensing and compliance needs.
  • Review and define policies of admission and tuition pertaining to the operation of the school.
  • Arrange for substitute help for the Preschool Staff (and serve as a substitute as needed).
  • Maintain confidentiality of sensitive student, staff, and school information.
  • Coordinate training and certification renewals for staff as required by state regulations.
  • Provide logistical support for preschool events and programming as needed.
  • Manage building and supply maintenance, ensuring adequate inventory of supplies and collaborating with the Security Director on facility-related needs and maintenance issues.
  • Other administrative duties as assigned by the Preschool Director or the VP of Innovations, Programs, and Services.

SUPERVISION

· This role reports to the Director of Gan Yeladim Preschool, under the supervision of the VP of Innovations, Programs, and Services at the Jewish Federation and Foundation of Greater Toledo.

QUALIFICATIONS

· Experience in an administrative or office support role, preferably in an educational or childcare setting.

· Knowledge of state licensing requirements for preschools or willingness to learn.

· Familiarity of Jewish traditions, culture, and holidays.

· Strong leadership, organizational, and communication skills.

· Passion for Jewish early childhood education.

· Strong organizational and time management skills with attention to detail.

· Proficiency in Microsoft Office, Google Suite, and other office management tools.

· Excellent written and verbal communication skills.

· Ability to work independently and handle confidential information with professionalism.

· Strong problem-solving and decision-making skills.

· Commitment to professional growth and ongoing education.

· Engaging, polished and self-motivated professional.

· Experience cultivating relationships with staff, parents, and community members. Excellent interpersonal and collaborative skills to represent the Jewish community, JFGT, and Chabad House with the ability to interface with people from varied backgrounds in a professional manner on the phone, via email and in person

· Other duties as assigned.

HOURS

This is a part-time position averaging 20–30 hours per week, typically scheduled Monday through Friday from 12:30 p.m. to 5:30 p.m.

Job Type: Part-time

Pay: $22.00 - $26.00 per hour

Expected hours: 20 – 30 per week
