Position Overview:

The Coordinator of Board Relations supports the governance and operations of the Board of Directors, partnering with the CEO, Board leadership, and executive staff to advance strategic priorities and ensure effective board engagement. This role oversees board recruitment, onboarding, education, policies, bylaws, compliance records, meeting administration, and the governance calendar. The Coordinator also collaborates with leadership to execute board meetings, retreats, organizational events, and special projects that strengthen stakeholder engagement and support the organization's mission.
 

Responsibilities:

Governance Strategy & Board Development

  • Serve as the agency's lead for board governance operations, partnering with the CEO, Board Chair, and Committee Chairs to advance strategic goals and ensure board leaders and members are well-supported in their roles
  • Own the annual governance calendar, including the board meeting cycle, committee cadence, officer elections, annual goal setting, and the board self-assessment process
  • Manage the board recruitment and succession pipeline in partnership with the CEO and Board leadership, including candidate identification, cultivation, vetting, and onboarding
  • Design and manage board orientation and ongoing education, staying current with nonprofit governance trends and best practices, and providing focused support during members' first year
  • On behalf of the CEO, build individualized relationships with board members to ensure their talents are well utilized and they remain engaged in the JFS mission; personalize the board experience
  • Anticipate and identify key issues for dissemination to board members; keep the CEO aware of concerns, conflicts, or relationship dynamics requiring attention

Board Operations & Compliance

  • Manage all logistics for board, committee, and executive session meetings, agendas, minutes, rosters, scheduling, materials distribution, hybrid/virtual meeting technology, and meeting set-up in partnership with department liaisons where relevant
  • Administer the board recordkeeping and maintain accurate, secure, and up-to-date board records, rosters, and historical files
  • Ensure compliance with agency bylaws, committee charters, board policies (including conflict-of-interest disclosures), and annual governance requirements, including governance-related disclosures supporting the IRS Form 990
  • Maintain and update governance infrastructure: policies and procedures manuals, standardized correspondence and processes, and master calendars
  • Attend, participate, and act as a resource at board, Executive Committee, and other committee meetings as needed, ensuring an exemplary meeting experience

Communication & Relationships

  • Manage ongoing board communication and the board member experience end to end
  • Draft communications from the CEO and Board Chair to the board and individual members, including emails, reminders, and briefing materials
  • Serve as primary contact for board leaders and members for information, support, or assistance in their roles; address concerns immediately and inform the CEO
  • Keep board members informed about JFS special events and provide appropriate accommodation
  • Develop and maintain exceptional relationships with board members, JFS leaders, staff, volunteers, donors, and other internal and external partners
  • Direct external vendors, consultants, and cross-departmental resources supporting board operations as needed
  • Partner with the CEO, Executive Team, and cross-functional stakeholders to plan and execute organization-wide events, retreats, and recognition programs (2–3 annually), managing logistics, communications, board engagement, and event-day coordination
  • Proactively communicate identified risks to the CEO to minimize risk when possible
  • Maintain the highest level of professional and ethical standards, handling confidential and sensitive information with discretion, and act in compliance with both the letter and spirit of all applicable laws and regulations

Skills/Experience/Abilities That Are a Must-Have:

  • 5 years of nonprofit executive leadership support experience
  • Excellent organizational skills and attention to detail.
  • Ability to adapt to the needs of the organization and employees.
  • Ability to work collaboratively and communicate effectively across teams.
  • Comfortable juggling multiple priorities with urgency.

Skills/Abilities We’d Like You to Have:

  • Bachelor's degree (or equivalent experience) in business, public administration, or other relevant field
  • 5 years of demonstrated experience managing a board of directors, key constituents, and executive-level staff, preferably in a nonprofit environment
  • Nonprofit governance credential (e.g., BoardSource certificate) a plus

Physical Requirements:

The employee is regularly required to sit for extended periods of time, walk, use hands to finger, handle, or free to type, use a mouse, and manipulate small components; reach with hands and arms; and talk or hear to communicate in person, over the phone, video, or with others in a potentially noisy environment. The employee is occasionally required to stand.
  • Local day travel may be necessary to meet with prospects and board members, as well as to attend meetings, conferences, and other obligations.

Pay Range: $70,000 - $90,000/year
