Position Summary:
The Human Resources Coordinator provides administrative, operational, and recruitment support to the Human Resources department and assists in ensuring effective coordination of staffing, onboarding, employee support functions, training compliance, documentation management, and regulatory requirements across the organization.
This position supports agency workforce initiatives while helping maintain efficient and compliant HR processes that align with organizational goals, accreditation standards, and applicable federal, state, and local employment regulations. The HR Coordinator serves as a resource for employees and supervisors and assists with maintaining accurate employee records, recruitment activities, personnel documentation, and workforce initiatives while ensuring confidentiality and professionalism in all HR functions.
Role and Responsibilities
This person’s responsibilities include, but are not limited to:
- Assists in carrying out Human Resources programs, procedures, and day-to-day HR operations for agency staff
- Coordinates recruitment activities including posting vacancies, sourcing candidates, reviewing resumes, conducting phone screenings, scheduling interviews, and maintaining candidate communications
- Partners with hiring managers throughout the recruitment and selection process to support timely staffing needs and workforce stability
- Coordinates and tracks pre-employment activities including background checks, reference checks, employment verification, drug screening requirements (if applicable), and required hiring documentation
- Assists with onboarding activities including new hire documentation, orientation scheduling, onboarding checklists, employee file setup, and communication with new employees
- Verifies and maintains I-9 documentation and other required employment records to ensure regulatory compliance
- Maintains Human Resource Information System (HRIS), applicant tracking systems, employee records, and related databases to ensure accuracy and data integrity
- Maintains organized, accurate, and audit-ready personnel files and Human Resources documentation in accordance with agency standards and record retention requirements
- Assists with monitoring and tracking required employee trainings, certifications, licensure requirements, annual acknowledgements, and recertification documentation to ensure ongoing compliance
- Supports agency compliance efforts related to accreditation, licensing standards, personnel requirements, audits, and regulatory reviews
- Assists with preparation and organization of Human Resources documentation needed for internal audits, accreditation reviews, and external monitoring activities
- Tracks recruitment metrics, vacancy trends, staffing reports, and workforce data to assist with staffing and workforce planning initiatives
- Participates in recruitment events, community outreach efforts, workforce partnerships, and other staffing initiatives as needed
- Supports employee engagement, retention initiatives, and workforce support activities
- Provides administrative support to the Human Resources department and responds to general HR-related inquiries while maintaining confidentiality
- Schedules HR meetings, interviews, training sessions, and department activities
- Participates in monthly staff meetings and other meetings as required
- Supports other departments as needed
- Serves as backup support for Front Desk/Reception functions as assigned
- Performs other duties as assigned by supervisor

Qualifications and Education Requirements
High School diploma required, Bachelor’s degree in Human Resources, Business Administration, or related field preferred
• One (1) to three (3) years of experience in Human Resources, recruitment, talent acquisition, administrative support, or related experience preferred
• Working knowledge of recruitment processes, onboarding procedures, personnel documentation practices, and HR administrative functions
Proficiency in Microsoft Office Suite including Word, Excel, Outlook, and HRIS/Applicant Tracking Systems (ATS)
• Strong verbal and written communication skills with the ability to interact professionally with employees, candidates, leadership, and external partners
• Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
• Strong organizational, time management, and multitasking skills with high attention to detail
• Ability to work independently, manage competing priorities, and adapt to changing organizational needs
• Customer service-oriented with strong interpersonal and relationship-building skills
