About the Role
Jet Sense Aviation, LLC is a pre-owned aircraft brokerage and dealer specializing in the acquisition, sale and lease of business aircraft (jets and turboprops). We are seeking a highly organized and detail-oriented Operations Manager to oversee the company’s financial operations, bookkeeping, payroll coordination, HR administration, vendor management, and aviation transaction support. We are a small company with 6 employees and working remotely is a very good possibility. We will consider candidates based in Charlotte or NW Chicago area. We are a fun group of people who all like to get stuff done. There is virtually no office reception needed because we are very rarely in front of our clients.
This role is central to the day-to-day functioning of the business and supports time-sensitive aircraft transactions involving buyers, sellers, lenders, escrow agents, and aviation service providers. The ideal candidate is highly reliable, extremely detail-oriented, and comfortable managing multiple priorities in a fast-paced, transaction-driven environment.
Experience in aviation, aircraft brokerage, charter operations, or similar environments is strongly preferred, but not a necessity.
Key Responsibilities
Finance & Bookkeeping (QuickBooks Online)
· Full bookkeeping and transaction management in QuickBooks Online
· Accounts payable and accounts receivable processing
· Invoice entry, reconciliation, and expense tracking
· Bank reconciliations
· Wire and payment processing support
· Maintain accurate financial records across active transactions
· Coordinate with external accountants and tax advisors
· Track recurring expenses, vendor obligations, and commissions
· Support monthly financial reporting preparation
Payroll & HR Administration
· Payroll coordination and processing
· Employee onboarding and offboarding administration
· HR recordkeeping and documentation management
· Benefits coordination (health insurance, PTO, 401k)
· Contractor onboarding and 1099 tracking
· Workers’ compensation documentation support
Aviation Transaction & Operations Support
· Support coordination of aircraft acquisition and sale transactions
· Assist with tracking documentation across deals (contracts, closing files, invoices)
· Liaise with pilots, maintenance providers, and aviation vendors
· Coordinate with external parties including escrow agents, lenders, and insurers
· Track aircraft-related expenses, inspections, and transaction costs
· Maintain aircraft records, subscriptions, and renewals
· Support scheduling and logistics tied to aircraft positioning and delivery
· Assist in ensuring smooth execution of time-sensitive transaction milestones
Office & Administrative Operations
· Daily office operations and administrative workflow support
· Vendor coordination and office management
· Document filing and organizational systems
· Communication follow-up and internal coordination
· Scheduling and general administrative support
· Support across multiple concurrent aircraft transactions
Qualifications
· 3–5 years of experience in operations, bookkeeping, or office management
· Strong proficiency with QuickBooks Online required
· High attention to detail and accuracy in financial work
· Ability to manage multiple priorities in a fast-paced environment
· Strong written and verbal communication skills
· Proficiency in Microsoft Office
· Ability to work independently with strong ownership of responsibilities
· Aviation, charter, or aircraft brokerage experience strongly preferred
