Position Summary
As the Front Desk Receptionist, you are the first point of contact for every patient who calls or walks through our doors. You play a critical role in creating a warm, welcoming, and professional first impression while ensuring each patient has an outstanding experience from check-in through check-out.
Your primary responsibility is to manage the daily front desk operations, greet and assist patients, collect payments, maintain accurate financial records, support patient flow throughout the day, and ensure patients leave with everything they need for continued success in their treatment plan.
Although our dedicated Scheduler manages the majority of patient scheduling, the Front Desk Receptionist will assist with scheduling overflow when needed to help maintain efficient clinic operations and excellent patient service.
You will also be responsible for maintaining the clinic's supplement inventory, ensuring products are adequately stocked, organized, and available for purchase, while educating patients on obtaining the supplements recommended by their provider.
Primary ResponsibilitiesPatient Reception
- Welcome every patient with warmth, professionalism, and enthusiasm.
- Answer incoming telephone calls promptly and courteously.
- Check patients in upon arrival.
- Verify patient information when appropriate.
- Ensure all required paperwork and consents have been completed.
- Notify providers and clinical staff when patients have arrived.
- Maintain a clean, organized, and welcoming reception area.
Patient Check-Out
- Check patients out following appointments and treatments.
- Process payments accurately for treatments, consultations, laboratory services, supplements, and other services.
- Explain balances due and payment options professionally.
- Ensure patients leave with any required paperwork, educational materials, or supplements recommended by their provider.
- Assist with scheduling overflow when necessary.
Payment Collections
- Collect payment at the time of service whenever possible.
- Monitor outstanding patient balances.
- Follow up with patients regarding unpaid balances.
- Document collection efforts appropriately.
- Ensure payments are processed accurately and receipts provided.
- Work closely with management to maintain healthy accounts receivable.
Supplement Sales & Inventory Management
- Maintain accurate supplement inventory.
- Receive and stock supplement orders.
- Monitor inventory levels and notify management when products require reordering.
- Keep supplement displays clean, organized, and fully stocked.
- Process supplement sales accurately.
- Assist patients in locating provider-recommended supplements.
- Help ensure patients leave with the supplements prescribed as part of their treatment plan.
Scheduling Support
While scheduling is primarily handled by the dedicated Scheduler, the Front Desk Receptionist will:
- Assist with scheduling during periods of high call volume or staff absence.
- Schedule appointments as directed by management.
- Help maintain smooth patient flow throughout the day.
- Assist with appointment confirmations when necessary.
Administrative Duties
- Scan and upload documents into patient charts.
- Process incoming mail and deliveries.
- Maintain office supplies for the reception area.
- Ensure confidentiality and HIPAA compliance at all times.
- Assist with additional administrative projects as assigned.

- Experience with electronic medical records
- Retail or supplement sales experience
- Experience handling patient payments and collections
- Familiarity with integrative or functional medicine is an asset
