E-Commerce Order Management Specialist
Location: On site – Woodbridge NJ

Reports to: Director of Sales Operations
About the role
As the E-Commerce Order Management Specialist, you'll take orders from the e-commerce team, get them into the system correctly, confirm we have the inventory to back them, allocate it, and hand the order to the warehouse with supporting documents to ship the order accurately. These duties are not limited to, In addition to the core E-Commerce Order Operations functions, this position will support the broader Sales Operations team with departmental needs, projects, reporting, process improvements, and other operational priorities as required.
What you'll doOrder entry and inventory
- Receive orders from the e-commerce team and enter them accurately into Sage X3 (our current ERP)
- Verify inventory availability against each order before it's released, identify shorts, backorders, and substitution needs early
- Manage allocations across accounts and channels so committed inventory actually ships.
- Identify and escalate order exceptions before release, including inventory shortages, incorrect pricing, missing information, customer-specific requirements, and system discrepancies.
Warehouse handoff
- Release orders to the warehouse with complete, correct documentation: pick tickets, routing instructions, carrier and ship-method details
- Ensure all required labels are generated and provided, shipping labels, carton and pallet labels, retailer-specific compliance labels
- Communicate special handling, packing, and customer requirements clearly so the warehouse can execute without back-and-forth
- Follow orders through to ship confirmation and resolve exceptions with warehouse and logistics
Sample orders and sales support
- Manage sample orders for the sales operations team end to end
- Monitor and replenish sample inventory in SellerCloud so sample orders ship in full
- Keep sales informed on order status, availability, and shipping updates dates
- Maintain order and inventory trackers so the team works from one source of truth
What we're looking for
- 2 years in order management, sales support, e-commerce operations, or supply chain, ideally with a distributor, brand, or 3PL
- Hands-on order entry experience in an ERP or OMS — Sage X3 or SellerCloud preferred; NetSuite, SAP, or comparable systems also welcome
- Comfortable working through a system migration: we run on Sage X3 today and are moving to NetSuite, so you'll learn both
- Understanding of inventory allocation, backorders, and ship-complete requirements
- Familiarity with warehouse workflows, routing, and retailer labeling and compliance requirements
- Strong attention to detail, you check your own work before someone else has to
- Clear written communication with internal teams, the warehouse, and outside customers
- Able to manage multiple competing priorities while maintaining accuracy, organization, and attention to detail.
- Consumer electronics or hardlines background
- Experience with shipping platforms and label generation (UPS/FedEx parcel and LTL)
