Job Overview
We are seeking a reliable and detail-oriented Accounting & Administrative Assistant to support our accounting department while assisting with daily office operations. This role includes accounts receivable support, invoicing, payment posting, payroll assistance, vendor coordination, and administrative responsibilities.
The ideal candidate is organized, professional, and comfortable communicating with customers regarding account balances, payments, and general inquiries.
Key Responsibilities
- Generate and send customer invoices in a timely manner
- Post payments accurately to customer accounts
- Prepare and distribute customer statements
- Monitor aging reports and follow up on past-due accounts
- Apply finance charges when appropriate
- Communicate professionally with customers regarding balances and payment status
- Prepare and mail vendor checks
- Assist with Net 30 account setup for filming and other customers
- Process insurance certificate requests (Workers’ Compensation, General Liability, Auto)
- Assist with tracking and completing business license renewals
- File and maintain organized digital documentation
- Collect and verify employee timesheets
- Assist with calculating pay and deductions
- Support payroll processing
- Maintain employee payroll records and documentation
- Answer and direct incoming phone calls
- Assist with taking block party orders
- Provide administrative support to the accounting department
- Assist the Controller with additional tasks and projects as needed
Qualifications
- High school diploma required; Associate’s degree in Accounting, Business Administration, or related field preferred
- 1–3 years of accounting, bookkeeping, or administrative experience preferred
- Basic knowledge of accounts receivable, invoicing, and payroll processes
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with ADP software is a plus
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and meet deadlines
Pay: $19.00 - $21.00 per hour
