Jaxon Construction, Inc. is seeking an experienced Construction Submittal Specialist to support our growing portfolio of federal government construction projects throughout the United States.


We are looking for someone who is highly organized, detail-oriented, and capable of taking ownership of the entire submittal process—from reviewing specifications and developing the submittal register to tracking Government approvals and ensuring approved materials are ready before construction.


This is not simply a data-entry position. We need someone who understands construction documents, specifications, technical submittals, and Government contract requirements.


What You Will Do

The Submittal Specialist will coordinate submittals across multiple active federal construction projects.

Responsibilities include:

  • Review Government contracts, drawings, specifications, and Statements of Work
  • Develop and maintain project submittal registers and logs
  • Identify required submittals by specification section
  • Prepare complete submittal packages for Government review
  • Obtain product data, shop drawings, samples, certifications, SDS information, warranties, and technical documentation
  • Coordinate with Project Managers, Superintendents, QC Managers, subcontractors, suppliers, manufacturers, and Government representatives
  • Verify that proposed products comply with contract specifications before submission
  • Track submitted, approved, approved-as-noted, revised/resubmit, and rejected submittals
  • Follow up aggressively on outstanding submittals and approvals
  • Maintain organized electronic project files
  • Ensure the field receives the current approved submittal information
  • Identify potential conflicts between specifications, drawings, proposed products, and field conditions
  • Assist with RFIs when clarification is required
  • Maintain documentation necessary for project closeout
  • Assist with warranties, O&M manuals, product certifications, as-built documentation, and final closeout packages
  • Manage submittals for multiple projects simultaneously


Federal Construction Experience Preferred

Candidates with experience working on projects for USACE, NAVFAC, Air Force, Army, National Park Service, GSA, or other federal agencies are strongly encouraged to apply.


Experience with USACE RMS, ENG Form 4025, submittal registers, Government QC procedures, and Division 01 submittal requirements is highly desirable.

Construction Knowledge


Jaxon Construction performs federal projects involving a variety of construction scopes. Experience with technical submittals involving any of the following is valuable:


Roofing: TPO, EPDM, standing-seam metal, asphalt shingles, wood shake, slate, clay tile, sheet metal, copper, flashings, gutters, insulation and related systems.

General Construction: Concrete, carpentry, structural repairs, coatings, doors/windows, exterior improvements, renovations and specialty construction.

Historic Construction: Historic roofing systems, custom sheet metal, copper work, preservation materials and restoration requirements.

Qualifications

The ideal candidate will have:

  • 3 years of construction submittal, project coordination, project engineering, QC administration, or contract administration experience
  • Strong ability to read construction specifications and drawings
  • Experience creating and maintaining submittal logs
  • Understanding of CSI specification divisions and sections
  • Ability to compare manufacturer product data against contract requirements
  • Strong Microsoft Excel, Word, PDF, and document-management skills
  • Excellent written communication and organizational skills
  • Ability to manage deadlines across several projects
  • Ability to communicate professionally with subcontractors, suppliers, Project Managers, QC personnel, and Government representatives
  • Federal construction experience strongly preferred
  • Experience with RMS or similar Government construction-management systems is a major plus

We want someone who takes ownership.


If a submittal is missing, you find it. If manufacturer information doesn't meet the specification, you identify the problem before it reaches the Government. If a subcontractor has not provided required documentation, you follow up until it is received.


The right person understands that delayed or rejected submittals can delay procurement, field production, project completion, and ultimately payment.
