Description

Purpose:  The Residence Manager will align his/her scope of work with Jawonio’s mission, while incorporating Jawonio’s Core Values as the guiding principle for all work activities.

 

Summary: To supervise the operation of two assigned residences, including supervising of Coordinators, Direct Care staff, and Recreation Worker (if applicable) as needed.  Ensure smooth operations in the delivery of services.  Ensures individuals residing in the houses are offered a home-like, safe living environment. Works in assigned homes providing direct care services when necessary. On call 24 hours, seven days a week. Manage IRA staff to ensure that they effectively provide direction and oversight to individuals who may at times display challenging behaviors. Support IRA staff as they serve as a role model and mentor, demonstrating the desired behaviors, and coaches the individuals using approved techniques and strategies; uses approved physical intervention techniques when necessary to protect individuals and others.

 

Essential Duties and Responsibilities include the following. Other duties may be assigned.

 

  • Supervises and oversees the operation of the two residences including monitoring staff assignments.  Ensures tasks are carried out properly, provides guidance and training as may be needed for individual staff members and to ensure people supported are receiving all necessary support and services.  Ensures the residences are comfortable and home like for the residents, taking into consideration their needs and wants for their home life experiences.
  • Works with staff members to develop improvements of operations and to enhance team members’ skills and job development.  Works closely with nurse and makes referrals, medical appointments in her absence.  Orders medication as needed.  Recommends staffing needs, ensuring residents’ ongoing service needs are met. Explores new programs and services based on changing needs of people supported within the department.
  • Assists in the preparation of residence budgets and administrative plans.  Regularly reviews budget experience, providing explanations for variance or makes adjustments required to operate within budget parameters.
  • Participates in the scheduling and carrying out of habilitation plan meetings; provides information on progress of residents, soliciting input from residents to develop their ability to be independent and progress.  May work with residents on a habilitative or life skill goal.
  • Reviews minutes of habilitation plan meetings, ensuring changes in services are documented, that staff is aware of and trained on changes, and that necessary follow up and modification of schedules and activities are implemented as appropriate. 
  • Manages or helps residents manage their financial affairs including deposits and withdrawals from savings accounts, handling of expense accounts, etc.  Provides cash to residents or staff for outings or other activities ensuring that change and receipts are returned and records in expense account ledgers are posted. 
  • Oversees biweekly schedules for the residences, arranging for proper nursing, recreation, and direct support coverage at all times.  Assigns employees, reschedules staff, and takes other action to ensure activities are properly covered.
  • Reviews time system, ensuring that payroll records indicates hours worked, etc.  Reviews and approves payroll daily and the end of pay period, to ensure accurate entries regarding attendance, scheduled and unscheduled time and other details.  Monitor the use of overtime and ensure that it is used efficiently.
  • Performs a variety of management and leadership functions, including participating in employment interviewing, orientation and training of new employees; provides training and retraining; carries out performance appraisal reviews, recommending salary increases, discipline, hiring and other supervisory functions related to the operation and smooth running of the department.
  • Participates in or serves on several agency committees such as Human Rights, Health and Safety, Incident Review, etc.  Attends monthly residents’ meetings and management meetings with Director of CLS and Residential Directors.  Participates in discussions of concerns presented as they apply to the operation of the house. Revises procedures as may be required and ensures that policy manuals are current.
  • Oversees and monitors the maintenance of the house, including care of grounds and facilities.  Makes minor adjustments or repairs, or contacts maintenance department as necessary for service.  May contact outside vendors or service organizations for specific needs. Keeps track of maintenance service, preparing appropriate records, time and money spent, etc.
  • Designs and carries out regular staff in service training, maintaining appropriate records of material covered and the participation of staff members.  Provides training to ensure compliance with changing regulations and new or modified skills to address specific needs of residents. Works with the residents on the implementation of their goals and serves as an example to direct support staff as to how they should interact with the individuals residing in the house.
  • Carries out individual activities with residents as may be necessary or appropriate.  Attends trips and outings with residents.  May be called upon to administer medication when on trips or out of the home in case that no other medication certified staff are available.
  • Shops for house supplies or equipment in neighboring stores.
  • Participates in emergency or crisis situations.
  • Evaluates staff probationary and annual reviews, submitting necessary paperwork.
  • Inventory of household and groceries ensuring ample supply are always on hand.
  • Maintains records for individual food stamps participants and obtain them.
  • Maintains safe, orderly work area and work practices.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience: Associates Degree in Human Services field plus at least 6 years of supervisory experience in the OPWDD field, OR Bachelor’s Degree plus three-year supervisory experience. Additional experience in field may be substituted for Associates degree with approval from Director of CLS.  Must have experience working with or have the confidence to work with individuals on the Autism Spectrum and/or individuals that at time displays challenging behaviors. Must have or are willing to learn new technique’s and skills needed to deescalate challenging behaviors in different environment. Must maintain a consistent level of engagement and interactions with the individuals. Must be able to follow the standardized schedule required to keep individuals engaged.

 

Language/Communication Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write comprehensive reports and documentation. Ability to speak effectively before groups of customers or employees of organization.  Frequent contact with consumers, agency professionals, and other staff.  Regular to occasional contact with family members, professionals and others outside the agency, vendors, and others visiting or having business in the residence.

Math Ability: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. 

 

Reasoning Ability:  Ability to solve practical problems and deal with a variety of concrete variables in situations. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

Supervisory Responsibilities:  Up to 15 employees

 

Software: If assigned, strong working knowledge of Microsoft Office Suite and (Word, Excel and/or Outlook).  Ability to learn other software systems, Precision Care, MITC; Litmos

 

The noise level in the work environment is usually moderate.

While performing the duties of this job, the employee is frequently required to sit and talk or hear. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.

 

Confidentiality: Ability to maintain the strictest confidentiality of all information accessed for data entry, filing, scanning or other purposes. Will be required to take annual confidentiality and HIPAA training.

 

Additional Requirements:

  • Must work one weekend day per week and one overnight shift per month
  • Must adjust weekly schedule to include, at minimum, one early morning and one late evening weekly
  • May require flexing regular schedule to accommodate meeting, reception coverage
  • Frequent contact with employees, supervisory management, and consumers.
  • Daily access to an automobile is required.
  • A valid NY State Driver’s License and ability to drive and driving record acceptable for agency insurance coverage are required.
  • Must be cleared/maintain acceptable record under NY state mandated criminal background check process
  • Must be clear and maintain an acceptable record under the Medicaid Fraud & Abuse clearance process.
  • Must remain current in all required trainings.  On-going training/education as part of development related to position.
