Program & Administrative Coordinator
Part-Time (20 hours/week)
Position Overview
The Japan Society of Northern California (JSNC) is seeking a high-energy, organized, proactive Program & Administrative Coordinator with excellent attention to detail and an interest in U.S.–Japan relations.
This role supports the planning and execution of JSNC’s programs and events, while also assisting with day-to-day administrative operations. Programs range from speaker events and workshops to major annual conferences and fundraising events.
The position reports to the COO and works closely with the President and Program Manager, offering broad exposure to program management, events, and nonprofit operations.
Key Responsibilities
Event & Program Support
- Assist with planning and execution of in-person and virtual events
- Coordinate with speakers, sponsors, and attendees
- Manage event registrations and communications
- Provide on-site or virtual event support
Administrative Operations
- Support daily office operations and communications
- Maintain organized records, calendars, and project timelines
- Assist with basic IT and systems (e.g., Google Workspace, shared tools)
- Coordinate with vendors and manage office supplies
Finance & CRM Support
- Assist with basic bookkeeping (AP/AR, expense tracking)
- Maintain records and support coordination with accounting partners
- Update and manage CRM (e.g., Salesforce) and membership data
Member Support
- Assist with member communications
- Manage email campaigns, website updates, and event promotion
- Support member renewals and requests
Qualifications
- Strong organizational skills and exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and meet deadlines
- Proactive, reliable, and solutions-oriented mindset
- Proficiency in Microsoft Office and Google Workspace
Preferred:
- Experience with tools such as Salesforce, Mailchimp, WordPress, Eventbrite, Canva, Zoom
- Prior experience in event coordination, administration, or nonprofit work
- Basic knowledge of bookkeeping or CRM systems
- Japanese language skills are a plus
