The role involves assisting sales representatives with new and ongoing projects, handling documentation, supporting import/export clearance, and ensuring smooth communication with vendors (including those in Japan). Travel within Kentucky and out-of-state (up to 25%) is required.

Your Essential Duties Would Include The Following
- Create, input, and manage projects, POs, invoices, and related data using ERP (MS NAV).
- Generate reports, logs, and documentation for sales processes.
- Maintain electronic and physical filing systems.
- Prepare statements, advance request forms, correspondence, memos, and letters (in English and Japanese).
- Assist in preparing scheduled reports and confirming quotes.
- Support vendor/customer registration and assist sales reps with new projects (delivery, launch, reporting, data input, material readiness).
- Support product changes, engineering changes, and product closeouts.
- Assist in generating bids, cost summaries, sales and forecast reports.
- Support A/R and A/P reporting assigned to projects.
- Assist with import/export clearance, including HS code assignment.
- Track deadlines, monitor progress, and maintain project documentation.
- Communicate with Japan vendors as required.
- Other duties as assigned.
- Bachelor’s degree in management or related field
- Minimum of 3 months’ relevant experience in a professional setting
- Proficient in MS Office (especially Excel formulas and functions)
- Excellent communication skills in English and Japanese (written and verbal)
- Knowledge of engineering, business/account management, or manufacturing processes is a plus
- Ability to travel and work on-site at customer locations
