Job Summary
Under the supervision of the Human Resources Director, the Human Resources Candidate Specialist will be responsible for administrative support in recruiting operations, internet job market space, sourcing strategies driven by data, coordinating career events, and assisting in other various duties as assigned by the Director to further advance the ministry.
Essential Responsibilities & Duties
General:
- Answer and screen incoming calls and emails.
- General clerical duties including photocopying, fax, and mailing.
- Maintain a digital and hard copy file system.
- Schedule and coordinate meetings, agendas, and appointments.
- Create and revise systems and documents, as necessary.
- Assist in projects assigned.
- Assist in managing HR inbox.
- Provide as back-up Facilitator for Human Resources Orientation.
Recruitment:
Interactions:
- Maintain external platforms: Indeed, LinkedIn, Glassdoor, and others.
- Build talent networks to find qualified active and passive candidates.
- Interact with qualified candidate profiles using various sourcing techniques.
- Scheduling and coordinating job/career fairs.
- Scheduling and coordinating hiring events for departments within the church.
- Join industry groups on social media to identify talent that matches the organization’s values and needs.
Coordination/Communication:
- Point of contact for the candidate at the church.
- Communicate with candidates requesting assessments, application inquiries, and scheduling interviews.
- Ensure smooth communication with candidates and hiring managers timely to resolve their inquiries.
- Communicate with hiring managers to schedule interviews, assessment results, candidate inquiries, etc.
- Build strong relationships with hiring managers.
- Coordinate interviews that are in person or via Zoom.
- Prepare interview packets, which include all materials needed for the interview.
- Setup interview rooms and have it prepared to host well.
- Request, compile, and manage candidate assessments.
- Send weekly rejection emails.
- Build candidate communication drafts to be approved by the Director.
- Updating and developing screener questions to be approved by the Director.
Maintain Candidate Data Base:
- Manage and develop all portions of the Applicant Tracking System and keep system up to date and clean.
- Schedule and perform periodic cleanups within the system.
- Utilize tags and flags within the database to maintain consistent reporting.
- Follow up with hiring managers about candidates not moved to the next stage.
- Manage applicant tracking system related to candidate status and communication
Talent Pipelines:
- Research candidate pool for qualified candidates that would be a good fit for other roles in the church.
- Research and coordinate with the Director new recruitment techniques.
- Assist in recruiting and talent acquisition methods and strategies.
Reporting:
- Run reports in Applicant Tracking System to understand marketing solutions and discover opportunities for improvement.
- Determine the effectiveness and success of current recruiting plans and strategies.
- Monthly, quarterly, and yearly recruitment report.
Positions:
- Assist with posting positions on James River website and in Recruiting Module (ATS).
Social Media Management:
- Create sample social media posts in conjunction with the Communications department for hiring departments to share on their personal platforms.
- Manage social media platforms by monitoring negative responses, responding to posts, etc.
- Create social media content for HR social platforms.
- Manage social media platform content.
Requirements
Job Requirements
- High school diploma, Associates degree preferred.
- Two (2) years of administrative experience or a similar position.
- Any equivalent combination of training and experience.
- Experience with Microsoft Word, Excel, and Outlook.
- Experience with Applicant Tracking Systems preferred.
- Experience with social media content.
- Called to support ministry.

- Ability to establish and maintain effective working relationships with supervising personnel, coworkers, civic organizations, business professionals, and the public.
