Bid Coordinator
Position Summary-
Jamail & Smith Construction is seeking a highly organized and motivated Bid Coordinator to support our Preconstruction and Estimating team. This position is responsible for contacting subcontractors and vendors, promoting bidding opportunities, tracking bid participation, and helping ensure strong subcontractor coverage on upcoming projects.
The ideal candidate is comfortable making outbound calls, building professional relationships, following up persistently, and maintaining accurate records. Construction experience is a plus but not required. Candidates with backgrounds in customer service, recruiting, inside sales, telemarketing, or construction administration are encouraged to apply!
Essential Duties & Responsibilities
- Contact subcontractors and vendors regarding upcoming bidding opportunities.
- Follow up on Invitations to Bid (ITBs) through phone calls, email, and other communication methods.
- Track subcontractor participation and bid coverage for active projects.
- Maintain and update subcontractor databases, bid lists, and CRM systems.
- Build and maintain positive relationships with subcontractors and suppliers.
- Assist estimators in identifying qualified subcontractors for project opportunities.
- Monitor bid responses and provide status updates to the estimating team.
- Research and add new subcontractors to the company database.
- Help coordinate pre-bid activities and communication efforts.
- Support the Preconstruction Department with administrative and coordination tasks as needed.
Qualifications
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Previous experience in customer service, recruiting, telemarketing, inside sales, construction administration, or related fields preferred.
- Strong verbal and written communication skills.
- Comfortable making a high volume of outbound calls.
- Excellent organizational and follow-up skills.
- Ability to manage multiple priorities and deadlines.
- Proficient with Microsoft Office, including Outlook and Excel.
- Experience with CRM or database systems preferred.
- Construction industry experience is a plus but not required.
