What are the responsibilities and job description for the Accounts Receivable Clerk/Administrative Assistant position at Jakobson Properties?

We are seeking a motivated Accounts Receivable / Administrative Assistant to join our team. This hybrid role provides key support to our Executive Suite while managing accounts receivable across multiple entities and portfolios.

What You’ll Do

  • Provide high-level administrative support to executives, including scheduling, correspondence, document preparation and travel arrangements.
  • Serve as a liaison between Principals, vendors, contractors, tenants, and internal staff.
  • Prepare credit card expense reports, coordinate meetings, and maintain organized filing systems.
  • Manage office supply inventory and ensure the Executive Suite is organized and well-stocked.
  • Record and post tenant payments and other transactions (checks, ACH, wire, and credit cards) accurately.
  • Investigate and resolve account discrepancies and deductions.
  • Reconcile AR ledgers, prepare aging reports, and maintain accurate financial records.
  • Handle all assignments with professionalism, confidentiality, and attention to detail.

What We’re Looking For

  • Associate’s or Bachelor’s degree in Business Administration, Accounting, or related field preferred.
  • 3 years of experience in administrative support and/or accounts receivable.
  • Strong organizational, multitasking, and communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with accounting software preferred (QuickBooks, Yardi, or similar).
  • Dependable, proactive, and professional demeanor with a commitment to accuracy and confidentiality.

Job Type: Temporary

Base Pay: $26.00 - $33.50 per hour

  • Administrative Assistant: 3 years (Required)

  • Yardi: 1 year (Preferred)
