The Administrative Assistant – Executive Support will provide high-level administrative and operational support to the C-Suite, including the CEO, COO, and other senior executives. The Administrative Assistant will handle scheduling, communications, document preparation, and coordination of executive-level meetings and projects.

Key Responsibilities

Executive Support & Office Coordination

  • Manage calendars, schedule meetings, and coordinate travel arrangements for C-Suite executives.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Assist in organizing and supporting executive meetings, including agenda preparation, note-taking, and follow-up.
  • Maintain confidentiality and professionalism in all interactions and communications.

Communication & Liaison

  • Serve as a point of contact between executives and internal/external stakeholders.
  • Screen and prioritize incoming communications, ensuring timely responses and follow-ups.
  • Coordinate cross-functional communications and assist with internal announcements.

Administrative Operations

  • Support day-to-day administrative tasks including filing, data entry, and document management.
  • Assist with expense reporting, invoice processing, and other operational tasks.
  • Help coordinate company events, executive visits, and special projects as needed.

Qualifications & Experience

  • Bachelor’s degree preferred; associate degree or equivalent experience considered.
  • 1–2 years of administrative or office support experience, preferably in a corporate or healthcare setting.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Professional demeanor and commitment to maintaining confidentiality.
