About the Role
Jacob & Co. is seeking a highly organized, proactive, and solutions-driven Process Improvement Manager to oversee and optimize the day-to-day operational functions of our New York office and retail operations.
This role is ideal for someone who thrives in fast-paced luxury environments and has a strong ability to build structure, improve workflows, and implement scalable operational processes across departments. The Operations Manager will play a critical role in developing, maintaining, and enforcing Standard Operating Procedures (SOPs) to support operational excellence, consistency, and efficiency across the business.
The ideal candidate is detail-oriented, operationally minded, and capable of balancing strategic process improvement with hands-on execution.
Key Responsibilities
SOP Development & Process Implementation
- Build, document, update, and implement Standard Operating Procedures (SOPs) across departments
- Ensure SOPs are properly communicated, adopted, and followed company-wide
- Create operational frameworks that improve consistency, accountability, and scalability
- Conduct operational audits and recommend improvements where needed
- Partner with department heads to streamline workflows and reduce operational gaps
Operational Management
- Oversee daily operational activities across departments to ensure smooth business functions and strict adherence to established processes, workflows, and company standards
- Identify operational inefficiencies and implement process improvements while driving accountability and ensuring teams consistently apply and follow operational procedures
- Work closely with and support the GVA HQ team in strengthening operations through SOP development, implementation, process optimization, and ongoing enforcement of operational best practices across teams
Project & Process Management
- Manage internal operational projects and process rollouts
- Track progress on operational initiatives and provide status updates to leadership
- Coordinate implementation of new systems, tools, and operational procedures
- Ensure proper documentation and organization of operational records and resources
Team Support & Training
- Lead onboarding initiatives and provide operational training and support for new hires.
- Assist teams with process adherence and operational best practices
- Help foster a culture of accountability, efficiency, and continuous improvement
- Provide ongoing support to ensure teams are aligned with operational standards
Compliance & Administrative Oversight
- Ensure operational compliance with company policies and procedures
- Maintain operational accuracy across reporting, documentation, and internal systems
- Support internal teams and administrative operations as needed
- Assist leadership with operational reporting and business process analysis
Qualifications
- 7 years of operations, business operations, or process management experience
- Experience developing and implementing SOPs and operational workflows
- Strong organizational and project management skills
- Excellent communication and cross-functional coordination abilities
- Ability to operate independently in a fast-paced, high-performance environment
- Strong attention to detail and problem-solving mindset
- Experience in luxury retail, hospitality, fashion, jewelry, or related industries preferred
- Proficiency in operational tools, spreadsheets, and project management platforms
