Sales and Rental Coordinator
Position Objective:
The Sales and Rental Coordinator will serve as an essential member of the Central Resource Team (CRT), providing vital support for both sales and rental operations. In this role, the coordinator will ensure seamless contract execution, enhance customer satisfaction, and facilitate effective collaboration across departments. This role will drive rental contracts, sales quotes, and customer service activities while streamlining the flow of information across departments. The ideal candidate will thrive in a fast-paced environment, balancing administrative, sales, and rental responsibilities to enhance business performance and customer relationships.
Key Responsibilities:
Rental Operations Support:
- Execute new rental contracts, ensuring all required documentation (e.g., deposits, insurance, COD) is complete and accurate.
- Manage rental equipment demand by coordinating with service departments to ensure timely reservations.
- Review fleet work orders, preventive maintenance (PM) services, and recall status to guarantee operational readiness before equipment release.
- Coordinate equipment delivery or customer pickup, providing final authorization for vehicle release.
- Maintain and update rental accounts to protect both business interests and customer relationships.
- Handle administrative tasks such as fleet utilization reporting, warranty registration, and toll bill processing.
Sales and Administrative Support:
- Process equipment orders, quotes, bids, and leasing paperwork to facilitate sales operations.
- Assist the sales team by managing CRM data entry, auditing daily inputs, and maintaining sales files.
- Coordinate with the finance team and sales lead to manage lease sales and post-sale interactions.
- Support special projects (e.g., open houses, promotional events) to generate business opportunities.
- Source new sales leads through inbound and outbound communication (calls, emails) and route qualified opportunities to sales executives.
Customer Service & Cross-Departmental Collaboration:
- Respond to rental and sales inquiries via phone and email to ensure customer needs are met promptly.
- Collaborate across departments (sales, rental, and service) to facilitate smooth information flow and ensure operational efficiency.
- Assist with promotional campaigns by identifying cross-selling opportunities to raise awareness of JDC’s products and services.
- Build relationships with customers and vendors, ensuring a high level of satisfaction and long-term engagement.
Qualifications:
- High school diploma or equivalent.
- 1 years of experience in rental operations (preferably heavy equipment) and customer service.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Familiarity with ERP software and CRM systems is a plus.
- Excellent communication, organizational, and problem-solving skills.
- Self-motivated, detail-oriented, and comfortable working in a fast-paced environment.
- Ability to manage confidential information with discretion.
