POSITION OVERVIEW
We are seeking an experienced Litigation Legal Secretary to provide high-level support to our litigation attorneys. The ideal candidate brings 5 years of recent Arizona litigation experience, a deep command of civil procedure in state, federal, and district courts, and the organizational ability to keep complex, deadline-driven matters on track. WHAT YOU’LL DO
• Draft, format, and finalize a wide range of litigation documents, including pleadings, motions, letters, correspondence, and closing documents, ensuring accuracy, proper formatting, and compliance with court rules.
• File pleadings manually and electronically with Arizona state, federal, and district courts in accordance with applicable rules and deadlines.
• Serve as liaison with courts, court runners, and process servers to ensure timely filing and service of process.
• Manage complex attorney calendars using Outlook, scheduling depositions, hearings, mediations, client appointments, and travel—proactively anticipating and resolving conflicts.
• Prepare trial exhibits, subpoena packets, trial subpoenas for witnesses, and related trial support materials.
• Communicate with clients professionally by phone, email, and in person; prepare and send engagement letters; handle conflict checks and new matter intake.
• Maintain and organize electronic client files in iManage with a high degree of accuracy.
• Collaborate closely with paralegals and attorneys to manage case workflow, monitor task progress, and meet all deadlines.
• Apply knowledge of AZ Civil Rules, Federal Rules of Civil Procedure, and local district rules to calendaring and docketing.
• Provide backup coverage as part of a team-oriented legal support group, ensuring continuity of service across attorney assignments.
• Uphold the highest standards of professionalism and confidentiality in all client and firm interactions.
