Document Coordinator / Controls (Engineering)

Essential duties and responsibilities:
- Administer daily Records & Information Management (RIM) Department functions.
- Assist with transition of departmental data from source location to SharePoint team-sites.
- Verify all official records archived to commercial offsite storage have standard taxonomies, retention assigned, and adequate descriptions.
- Reconcile offsite storage inventory to ensure integrity of internal systems used to manage physical records inventory.
- Assist with the management of offsite storage and retrieval of paper records to minimize cost and maintain process consistency.
- Assist with large quantities of incoming information from field locations, this can include carrying heavy boxes and working with paper and other materials.
- Assist with Box indexing and labeling and working with our offsite storage representatives to capture all necessary information of company records due to be sent offsite.
- Assist with all department project work as assigned.
- Maintain a regular, dependable attendance, and high level of performance.
- Collaborate with a wide variety of people with tact, courtesy and professionalism.
- Partner with Team members, other Departments and organizations to achieve overall company objectives.
- Communicate clearly and concisely (verbal and written) in person, by telephone, and in email and listen carefully
- May be required to work non-traditional hours as needed.
- Maintain a high regard for personal safety, the safety of company assets and employees, and the general public.
- Other daily, weekly, monthly or special project duties as identified and defined.
Minimum requirements:
Education:
- High School diploma GED required
Experience/Specific Knowledge:
- A minimum of two (2) years direct work experience in an office support environment.
- Proficiency in SharePoint and other Office 365 applications desirable.
- Demonstrated understanding of Information Management principles is desirable.
- Intermediate proficiency with Microsoft Office applications (including but not limited to Word, Excel, Outlook and PowerPoint) for the purpose of word processing, spreadsheets and information retrieval.
- Strong reading, listening and analytical skills and logical thought processes, with the ability to identify and resolve complex issues/problems.
Certifications, Licenses & Registrations:
- Must possess and maintain a valid driver’s license and a driving record satisfactory to the company and its insurers (for travel).

- Occasional overnight travel and weekend travel may be required.
