About the Role
The Assistant Event Coordinator plays a key support role within the events team - assisting Event Coordinators in planning and executing weddings, corporate events, and social gatherings. This position is ideal for someone who is organized, eager to learn, and passionate about the event industry. The Assistant Event Coordinator works closely with senior coordinators, clients, and internal departments to ensure every event runs smoothly. This role offers valuable hands-on experience and professional development opportunities, serving as a potential path toward an Event Coordinator role within the company.
Responsibilities
- Assist Event Coordinators with planning and execution of weddings, corporate functions, and private events.
- Attend client meetings and tastings, document details and action items.
- Create and maintain event timelines, floor plans, and setup sheets.
- Support logistics preparation, including ordering linens, preparing event materials, and coordinating with warehouse and culinary teams.
- Maintain event data and documentation in Caterease & hard copy files.
- Monitor delivery of goods and services to ensure event details and standards are met.
- Assist on-site with event setup, execution, and breakdown as needed — including evenings, weekends, and holidays.
- Research industry trends and contribute to special projects or initiatives as directed.
- Collaborate with sales, operations, and culinary departments to ensure exceptional client experiences.
Qualifications
- Bachelor’s degree preferred but not required.
- 1–2 years of experience in catering, event planning, or hospitality preferred.
- Strong organizational, multitasking, and communication skills.
- Exceptional attention to detail and ability to thrive in a fast-paced environment.
- Demonstrated commitment to outstanding customer service.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with Caterease.
- A strong desire to learn and grow into a full Event Coordinator.
Pay range and compensation package
- Salary: $48,000 – $55,000 per year (Full-time)
