Office Assistant
Location: Wichita, KS – IWP Foundation Repair
IWP Foundation Repair is seeking a dependable and detail-oriented Office Assistant to join our growing team. This position is an exciting opportunity for someone who enjoys variety in their work and takes pride in keeping things organized and running smoothly. As an important part of our office and project support, you’ll play a key role in making sure our team stays on track and our customers receive the best experience possible.
Key Responsibilities:
- Answer and direct calls with professionalism, and greet/assist customers in the office lobby
- Schedule evaluations, repair jobs, waterproofing projects, and new residential builds while coordinating with crews, sales staff, and builders to keep schedules accurate and up to date
- Prepare and manage project documentation, including contracts, permits, warranties, reminders, and customer folders for residential and commercial jobs
- Track and organize job details using CompanyCam, QuickBooks, and internal scheduling tools; ensure completed work orders and photos are properly uploaded
- Support commercial projects by creating crew folders, processing pay applications, updating billing spreadsheets, and generating invoices
- Maintain organized records of jobs, permits, and correspondence while monitoring and ordering office supplies as needed
- Assist with general office tasks such as filing, data entry, email correspondence, and stepping in to support other departments when necessary
- Participate in weekly team meetings to stay aligned on residential and commercial operations
Qualifications:
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Dependable, detail-oriented, and a positive team player
- Comfortable using computers and learning new systems
- Previous office or scheduling experience is a plus, but not required
Schedule & Compensation:
- Pay: $16-$19 per hour (based on experience)
- Office hours: Monday–Friday, 7:00 AM – 5:00 PM
- 8-hour shifts with staggered schedules to ensure full coverage during office hours
