What are the responsibilities and job description for the Administrative/Executive Assistant position at iVC Consulting?
If you want a role that puts you close to the real decision-making at C leadership level - keep reading.
This role is a chance to work close to the founder of a growing consulting firm and see how C- level decisions are made. You'll get direct exposure to how an executive operates, and learn how a fast-moving organisation grows, adapts to modern realities, and becomes AI-enabled. Instead of observing from afar, you'll sit at the centre of the action - helping shape priorities, supporting operational rhythms, and developing the kind of judgment and instincts that usually take years to build. It's a fast track into understanding how a business is run at the top, with the space to grow into a confident professional yourself.
We're looking for someone who is comfortable in a fast-moving environment and enjoys bringing structure and clarity to other people's work. You're the person who notices what needs to happen next and takes ownership without waiting to be asked. You like variety, you communicate clearly, and you stay calm when things shift. If you're motivated, proactive, detail-driven, and excited by the idea of being the person who "makes things work," you'll fit right in.
What you'll do:
- Get behind-the-scenes access: Support internal projects and see how new services and tools come to life. Keep key information (website, CRM, materials) up to date.
- Partner with the MD: Stay close to decision-making, own his calendar and scheduling, and keep priorities on track.
- International coordination: Plan meetings and travel. Keep communication flowing across all offices and time zones.
- Finance & Operations: Support invoicing, expenses, and coordination with accountants.
- Office & team support: Oversee the London office, onboarding, and team events.
You'll thrive here if you:
- Are highly organised, detail-oriented, and enjoy bringing structure to fast-moving situations.
- Are clear communicator, comfortable coordinating across borders. Enjoy learning every day and being close to how decisions are made and companies grow.
- Are confident with MS Office and quick to learn new software.
- Are based in London and able to work on-site.
- Have bachelor's degree (completed or final year); assistant experience is a plus.
- Italian or Lithuanian language is an advantage.
