We are seeking a warm, organized, and proactive Administrative Assistant to join our Ithaca Montessori community! Duties
- Greet families, visitors, and staff with professionalism and warmth, creating a welcoming school environment
- Manage front desk operations, including answering phones, responding to inquiries, and directing communication appropriately
- Maintain accurate student and administrative records, including filing and data entry
- Support enrollment, attendance tracking, and general school documentation
- Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace
- Assist with bookkeeping tasks, including tuition tracking and basic financial record-keeping (Procare experience preferred)
- Order office and classroom supplies, manage inventory, and support overall office organization
- Proofread school communications, newsletters, and documents for clarity and accuracy
- Respond promptly to emails, phone messages, and family inquiries, prioritizing time-sensitive matters
- Assist with event coordination, school communications, and community outreach
- Provide general administrative and clerical support to school leadership and teaching staff
Experience & Qualifications
- Previous administrative or office experience, preferably in a school or child-centered environment
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace
- Experience with Procare or similar bookkeeping software is a plus
- Excellent organizational and time management skills, with the ability to multitask effectively
- Strong interpersonal and communication skills, with a commitment to respectful and responsive family engagement
- High attention to detail in record-keeping, proofreading, and data management
- Ability to maintain confidentiality and handle sensitive information with care
- Bilingual skills are a plus and support our diverse school community
- Familiarity with Montessori education or interest in learning about Montessori philosophy is highly valued
