What are the responsibilities and job description for the Front Desk/Reservations Agent position at Island Retreat RV Park?
Island Retreat RV Park is seeking a Part Time Front Desk/Reservations Agent for our RV Park Office located in Gulf Shores, Alabama.
This person will be responsible for handling all office administrative duties, assisting with reservations, and be a source of general information to customers- all while ensuring the guest’s satisfaction. The ideal candidate will be upbeat, a go-getter, and serve as the face of the park!
This position will be daytime hours between 8AM-5PM, 2-3 Days a week. Must be able to work weekends as needed.

ESSENTIAL RESPONSIBILITIES INCLUDE, BUT NOT LIMITED TO:
Greet and establish rapport with guests, current and prospective residents. Field park comments, suggestions, and complaints to the Manager.
Check guests in and out for their reservations.
Perform general administrative duties such as answering phones, typing, copying, faxing, and filing.
Assist in solving billing discrepancies. Collect and post security deposits, rent, or funds for other services.
Complete and maintain RV park records, reports, and files.
Prepare and distribute park communications such as rule reminders, violation notices, newsletters, etc.
Perform cancellations according to procedures.
Ensure office supplies are sufficiently stocked and prepare supply orders as needed.
Assist with planning and coordinating guest and resident relation events and activities within the park.
Assist with the preparation of marketing materials and coordinate with the marketing team.
Capture sales from incoming reservations calls and coordinate details of each reservation focused on converting inquiries into bookings.
Processing online reservations and responding to guest email inquiries and comments.
Using RV park management software to send pre-arrival emails, assign sites, process credit card transactions, and check guests in each day.
Run daily reports for reservations, revenue management and operational departments
Handle guest complaints where applicable.
Call to confirm and/or guarantee non-guaranteed reservations, as well as clear wait-listed reservations.
Contact guests or travel planners to clarify any discrepancies in the preferences or requests before guest arrival.
Interacting professionally with guests in both email and face to face interactions.
Comply with park standards for sales and marketing, while working harmoniously and professionally with co-workers and team members.
Possess ability to stand for long periods of time, climb stairs, bend, and occasionally lift heavy packages.

*SKILLS AND EXPERIENCE
Minimum of One-year Customer Service experience
Minimum of One-year experience in hospitality reservations/front desk operations.
Intermediate to advanced computer proficiency required, with ability to use Microsoft Office Suite, email, internet, and provide data entry in a timely and efficient manner. Knowledge of Google Suite products required.
Experience in RV park or Campground office is a plus
Must exhibit excellent telephone skills and demeanor.
Must possess basic sales skills
Strong customer service skills
Good problem-solving skills
Above average communication skills - both written and oral - are required.
