PURPOSE/SUMMARY:
The Office Administrator helps keep our workplace running smoothly and efficiently. This role covers a wide range of responsibilities, including supporting office needs, coordinating with vendors, organizing events, and providing general administrative support. Serving as the go-to person for office-related matters, the Office Administrator helps ensure an organized, welcoming, and productive environment for employees and visitors alike.
RESPONSIBILITIES OF THE POSITION
- Communication Support: Answer and direct calls, greet visitors, and assist with general inquiries.
- Office and Facility Coordination: Monitor and address office and building needs by working with service providers and vendors.
- Vendor & Supply Oversight: Order and distribute supplies, maintain inventory, and coordinate vendor services.
- Basic Financial Tasks: Process deposits, track expenses, and assist with simple reports.
- Mail & Shipping: Handle incoming and outgoing mail and shipping logistics.
- Order & Record Keeping: Track orders and maintain accurate records.
- Event Support: Assist with planning and setting up meetings, events, and celebrations.
- Administrative Assistance: Provide general support such as filing, scheduling, and document preparation for leaders and teams.
- Additional Responsibilities: Perform other duties as assigned to support the office.
QUALIFICATIONS AND SKILLS
- High school diploma or equivalent required.
- 1–2 years of office coordination, administrative, or customer service experience preferred.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Comfortable using Microsoft Office Suite and other business software; experience with UPS WorldShip a plus.
- Positive, can-do attitude with a willingness to take initiative.
WORKING CONDITIONS AND PHYSICAL DEMANDS
- Must be able to remain in a stationary position, e.g., standing or sitting, at least 50% of the time.
- Must be able to move and/or traverse occasionally to move about inside of the office to access filing cabinets, copiers, office machinery, etc.
- Most constantly operate, activate, use, prepare, inspect, place, detect, position a computer and other office productivity machinery, such as mouse, calculator, copy machine, computer printer, etc.
- Must occasionally ascend/descend stairs, step, etc.; must position self, e.g., stoop, kneel, crouch or crawl, to move and maintain files and work area and equipment.
- Must have the ability to communicate, detect, converse with, discern, convey, express oneself, exchange information, e.g., talk/hear, so others will understand, and must be able to exchange accurate information in these situations.
- Must be able to detect, determine, perceive, identify, recognize, judge, observe, inspect, estimate, assess (e.g., see) details at close range (within a few feet of the observer).
- Must be able to frequently move, transport, position, put, place, install, remove, e.g., carry weight and lift boxes and/or materials up to 25 pounds across various office needs.
- Must be able to tolerate sound and noises in an office and warehouse environment and occasional exposure to outdoor weather conditions at job site visits.
