Position Summary
Irvey’s is seeking a highly organized and results-focused Catering & Events Coordinator to manage catering and open-event bookings for our scoop trucks.
This role owns the event process from initial inquiry through event completion, including sales, scheduling, client communication, and internal coordination. The CEC plays an important role in growing catering revenue, managing the event calendar, and delivering an excellent client experience.
The role works 20–30 hours per week during daytime office hours Monday–Thursday. Because events frequently occur outside of office hours, evening and weekend phone availability is required to support active events and scoop truck teams when needed. Additional compensation is provided for this availability.
Core Functions
Catering & Event Sales
- Respond to catering and event inquiries
- Convert leads into confirmed bookings
- Support catering and open-event revenue growth
Calendar Ownership & Scheduling
- Manage the catering and open-event calendar
- Coordinate scheduling with operations and scoop truck teams
- Prevent conflicts and ensure operational feasibility
Client Communication & Experience
- Serve as the primary client contact from inquiry through event completion
- Confirm pricing, event logistics, timelines, and expectations
- Deliver a professional and responsive client experience
Event Coordination
- Communicate event logistics to operations and scoop truck teams
- Ensure events are properly scheduled, staffed, and prepared
CRM & Reporting
- Maintain accurate client and event records in the CRM
- Track sales activity and revenue performance
Marketing Process
- Administrate Irvey's Marketing Process
Talent Process
- Administrate Irvey's Talent Process
Brand Representation
- Uphold Irvey’s brand voice and hospitality standards
- Ensure a premium guest experience at all events
Qualifications
- Experience in sales, events, hospitality, or client coordination
- Strong written and verbal communication skills
- Highly organized with strong attention to detail
- Ability to manage multiple events simultaneously
- Comfortable using CRM systems, calendars, and digital tools
- Ability to work independently and proactively
- Willingness to support busy seasonal event periods
