About the Job:
The Specialty Collections Representative is responsible for managing the submission, monitoring, and collections efforts related to portal, summary, and customer-specific billing processes. This role works closely with customers, branch operations, sales teams, and internal departments to ensure invoices are submitted accurately, payment requirements are met, and outstanding balances are resolved in a timely manner. The ideal candidate will possess strong communication, problem-solving, and organizational skills, along with a solid understanding of commercial collections, customer billing platforms, account reconciliation, and risk mitigation within a fast-paced operational environment.
Key Responsibilities:
- Manage the submission, tracking, and collections of portal, summary, and customer-specific invoices to ensure timely payment and compliance with customer billing requirements.
- Review invoices for accuracy prior to submission, including verification of rates, PO/PMO/WO requirements, supporting documentation, billing descriptions, and customer-specific formatting requirements.
- Monitor aging and follow up on outstanding balances related to assigned accounts while maintaining detailed account notes and collection updates.
- Work closely with branch operations, sales teams, customers, and internal departments to resolve billing discrepancies, rejected invoices, missing documentation, and payment delays.
- Process customer-specific billing requests, rebills, credits, offsets, and special invoicing requirements as necessary.
- Assist with month-end close activities by ensuring invoices are submitted timely, payment statuses are updated, unapplied items are addressed, and aging concerns are escalated appropriately.
- Utilize strong analytical, problem-solving, and organizational skills to identify process inefficiencies, mitigate risk, and improve overall billing and collection performance.
- Maintain a high level of attention to detail while effectively communicating with customers and internal departments in a professional manner.
- Display strong computer literacy skills through the use of Microsoft Excel, customer portals, and other billing platforms to manage invoicing, reporting, reconciliation, and collections activities.
- Support automation initiatives, process improvements, reporting requests, and other special projects assigned by management.

- Proven experience of at least 2 years in a Billing Clerk role.
- Familiarity with billing software and Microsoft Excel is essential.
- Ability to prepare invoices accurately and efficiently.
- Experience in handling billing functions and producing billing statements.
- Knowledge of month-end close procedures and processes.
- Detail-oriented with a high degree of accuracy in all tasks.
- Strong communication and interpersonal skills.
- Ability to multitask, prioritize, and manage time effectively.
- Familiarity with legal billing procedures and regulations.
- Excellent problem-solving skills and the ability to work under pressure.
- Strong numerical skills and the ability to work with complex billing systems.
