PURPOSE OF JOB: The Office Manager/ Executive Assistant is responsible for managing the day-to-day office administration while providing comprehensive support to the CEO. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. This is a highly visible role. The Office Manager/Executive Assistant will be self-motivated, creative, flexible, collaborative, and able to juggle diverse responsibilities with a strong emphasis on organization and attention to detail.MAJOR DUTIES AND RESPONSIBILITIES:Office OperationsMaintaining office supplies inventoryMail distributionManage weekly food distribution, company lunches, and executive lunch requestsCoordinate special events, meetings and workplace activities to support Iridex cultureManage conference rooms and scheduling requestsReconciliation of monthly corporate credit card statementsCoordination of equipment maintenance, facility and workstation management with Sr. IT & Facilities ManagerExecutive SupportMaintain CEO calendar and contact database.Assist CEO with any administrative requestsCoordinate complex travel arrangements.Complete weekly expense reports.Review incoming expense reports for CEO approvalManage Board of Director meetingsAct as back-up support for executive staff membersCreate PowerPoint slides and presentationsAssist in various projects for Human Resources QUALIFICATIONSBachelor’s degree or equivalent, 3-5 years related experience or equivalent combination of education and experience.Acute attention to detail is a must.Excellent verbal and written communication skills.Proficient on Microsoft Word, Excel, Outlook and Power Point.Experience working with board portals, such as DiligentVersatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.Ability to think ahead; be proactive.Commitment to excellence and high standards.Ability to deal effectively with a diversity of individuals at all organizational levelsGood judgment with the ability to make timely and sound decisions.Strong organizational and problem-solving skills; able to manage priorities and workflowAbility to work independently and as a member of various teams and committees.Demonstrated ability to plan and organize projects.Confidentiality is a mustOn-site requiredADDITIONAL INFORMATION:Department: 510 - General AdministrationReports To: Sr. Director, HR / Chief of StaffFLSA Status: ExemptAnnual salary: $90,000 - $105,000 (DoE)Work Location: 100% onsite in Mountain View, CA
