**Job Summary:**
We are seeking a highly organized and detail oriented Administrative Specialist to join our dynamic team. The ideal candidate will be responsible for providing administrative support to our medical office, ensuring a smooth and efficient operation of our day-to-day activities. This role will primarily be focused on handling the intake process of new clients from initial inquiry and referral, through scheduling first appointment (and beyond) and the completion of intake paperwork. The successful candidate will be skilled in Google Workspace capabilities (Gmail, Drive, Sheets, etc) and navigating standard office equipment. This is an excellent opportunity to work with a dedicated and tight-knit team and contribute to the success of our growing mental health practice.
**Duties:**
- Provide administrative support through data entry (tracking referrals and managing our Initial Contact Inquiry Log & Waitlist), calendar management with scheduling appointments
- Maintain organized and detailed records within our Electronic Health Records (SimplePractice) of client information, medical billing, and other administrative tasks
- Respond to new inquiries/referrals; follow up as appropriate
- Complete clinical forms and fax to other medical professionals on behalf of our providers; generate and send client letters
- Support billing department in verifying client's health insurance information, communicating directly with health insurance companies surrounding benefits and/or rectifying medical claims
- Maintain a high level of confidentiality and discretion in handling sensitive client (and referral) information
- Other duties as assigned
**Experience & Skills:**
- Previous experience in a medical office setting is preferred
- Proficiency in GoogleWorkspace and other computer programs/software
- Excellent customer support and interpersonal skills; ability to communicate with clients and referrals with empathy and understanding
- Ability to work independently on tasks assigned
- Ability to effeiciently handle multiple tasks simultaneously; detail-oriented and organized

Job Type: Part-time
Pay: From $15.00 per hour
Expected hours: 15 – 30 per week
