Larson Intrua Financial is seeking an Administrative Assistant, in the Houston, TX, office where you will play a crucial role in ensuring the smooth operation of our office. Job Responsibilities
- Manage and organize daily schedules, appointments, and meetings for executives or team members.
- Prepare and edit correspondence, reports, and presentations.
- Coordinate travel arrangements, including flight bookings, hotel accommodations, and itineraries.
- Maintain filing systems, both electronic and physical, ensuring easy retrieval of documents.
- Answer direct phone calls, take messages and handle inquiries.
- Assist in the preparation of regularly scheduled reports.
- Order and manage office supplies inventory, ensuring stock levels are maintained.
- Provide general support to visitors and handle incoming and outgoing mail.
- Conduct research and compile data for reports and presentations.
- Assist in planning and organizing company events and meetings.
- Maintain contact lists and databases, ensuring information is up to date.
- Handle sensitive information with confidentiality and discretion.
- Support other departments as needed with administrative tasks and projects.
Requirements
- High school diploma or equivalent; associate degree or certification in office administration is a plus.
- Proven experience as an administrative assistant or in a similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Attention to detail and problem-solving skills.
- Basic knowledge of office equipment, such as printers and scanners.
- Ability to maintain confidentiality of sensitive information.
- Strong interpersonal skills and ability to work collaboratively with team members.
- Flexibility and adaptability in a fast-paced work environment.
- Familiarity with office management procedures and basic accounting principles is a plus.
