Description

Larson Intrua Financial is seeking an Administrative Assistant, in the Houston, TX, office where you will play a crucial role in ensuring the smooth operation of our office. You will support our team with a variety of administrative tasks, fostering an organized and efficient work environment. Your attention to detail and proactive approach will be key in contributing to our success.


Job Responsibilities

  • Manage and organize daily schedules, appointments, and meetings for executives or team members.
  • Prepare and edit correspondence, reports, and presentations.
  • Coordinate travel arrangements, including flight bookings, hotel accommodations, and itineraries.
  • Maintain filing systems, both electronic and physical, ensuring easy retrieval of documents.
  • Answer direct phone calls, take messages and handle inquiries.
  • Assist in the preparation of regularly scheduled reports.
  • Order and manage office supplies inventory, ensuring stock levels are maintained.
  • Provide general support to visitors and handle incoming and outgoing mail.
  • Conduct research and compile data for reports and presentations.
  • Assist in planning and organizing company events and meetings.
  • Maintain contact lists and databases, ensuring information is up to date.
  • Handle sensitive information with confidentiality and discretion.
  • Support other departments as needed with administrative tasks and projects.

Requirements

  • High school diploma or equivalent; associate degree or certification in office administration is a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Ability to prioritize tasks and manage multiple projects simultaneously.
  • Attention to detail and problem-solving skills.
  • Basic knowledge of office equipment, such as printers and scanners.
  • Ability to maintain confidentiality of sensitive information.
  • Strong interpersonal skills and ability to work collaboratively with team members.
  • Flexibility and adaptability in a fast-paced work environment.
  • Familiarity with office management procedures and basic accounting principles is a plus.
