Key Responsibilities
Office Management & Administration
- Oversee daily office operations to ensure a productive, professional, and efficient work environment.
- Provide executive and staff administrative support including scheduling, correspondence management, record-keeping, and supply inventory.
- Support HR processes such as recruitment, onboarding, employee record management, payroll coordination, and workplace culture initiatives.
Operational & Financial Leadership
- Partner with Project Managers and technical leads to support project success, tracking quality, schedule, and budget needs.
- Assist with budgeting, accounts payable/receivable, forecasting, and financial reporting in coordination with the Regional Vice President and Accounting.
- Support resource allocation and staff scheduling to maximize utilization and project efficiency.
Client & Business Support
- Maintain strong client relationships through responsive communication, meeting coordination, and excellent service delivery.
- Assist with local business development efforts, including prospect engagement, client outreach, and marketing support.
- Represent the company at professional, civic, and client-facing events to elevate visibility and credibility within the region.
People & Culture
- Mentor, coach, and support staff at all levels to cultivate a collaborative and high-performing team.
- Promote positive engagement and uphold company values of integrity, loyalty, helping others, and a strong work ethic.
Qualifications
- Bachelor’s degree in Engineering, Construction Management, Surveying, Planning, Landscape Architecture, or a closely related technical field preferred
- Experience in engineering, consulting, or infrastructure project environments strongly preferred
- Proven ability to manage teams, workflows, and project support functions
- Financial awareness including budgeting, billing, and business performance indicators
- Strong organizational, communication, and relationship-building skills
- Ability to prioritize, multitask, and adapt in a dynamic environment
