Job Summary:
The Contracts Renewal Specialist is responsible for managing the end-to-end contract renewal process to ensure timely, accurate, and compliant continuation of client and vendor agreements. This role requires strong attention to detail, effective communication skills, and the ability to collaborate across departments to maintain positive business relationships and mitigate contractual risks.
Duties and Responsibilities:
- Proactively monitor contract lifecycles and initiate renewal processes well in advance of the Agreement’s expiration date.
- Review existing agreements to identify renewal terms, pricing, and compliance requirements.
- Collaborate with internal stakeholders (sales, legal, finance, operations) to align on renewal strategies and approvals.
- Collaborate with client support to ensure knowledge of client and relationship interworking. Utilize renewal process to enhance client experience and strengthen the existing partnership.
- Negotiate renewal terms with clients, vendors, and partners in accordance with company policies ensuring profitability, making operational considerations and safeguarding contract renewals and long-term client retention.
- Prepare, draft, and distribute renewal documentation and amendments.
- Maintain accurate records of renewal activities in contract management systems (CMS/CRM) including the financial logic used to determine the renewals.
- Track performance against key renewal metrics, such as renewal rates, timelines, and customer satisfaction.
- Identify opportunities for upselling, cross-selling, or contract optimization during renewal discussions.
- Contribute to building and strengthening the company’s bottom line by deepening the existing partnerships through expanding our reach within the client’s footprint.
- Gain an understanding of client’s business functions and footprint to create and/or increase procurement relationship through proposing new service ideas or locations.
- Ensure adherence to all regulatory, legal, and organizational standards in contract renewals.
- Provide reporting and analysis on renewal pipeline, status, and trends to management.
Requirements
Qualifications:
- Education: Bachelor’s degree in Business Administration, Legal Studies, Finance, or a related field (or equivalent experience).
- Experience: 2–4 years of experience in contract administration, account management, renewals, or a related role.
- Strong understanding of contract terms, risk management, and compliance requirements.
- Excellent organizational skills with the ability to manage multiple contracts and deadlines simultaneously.
- Strong negotiation and interpersonal communication skills.
- Proficiency with contract management software, CRM platforms, and Microsoft Office Suite.
- Detail-oriented with strong analytical and problem-solving skills.
- Experience in project management and related functions highly desired.
- Strong technology acumen
- Comfortable working with all levels of the organization and across both HQ and field teams.
- Knowledge of the commercial services industry; janitorial or facilities maintenance preferred.
- Excellent verbal and written communication skills.
- Ability to build and leverage strong relationships.
- Demonstrated analytical and problem-solving skills. Foundational knowledge of data and analysis principles
- Ability to work effectively with minimal supervision both individually and as part of a team.
- Proficiency with Microsoft Office Suite; Monday.com a plus.
