Key Responsibilities
Administrative & Office Support
Manage front‐office operations including phones, email, mail, visitor check‐ins, and general inquiries.
Maintain organized digital and physical filing systems for production, purchasing, HR, and compliance documents.
Prepare reports, correspondence, and internal communications as needed.
Production & Operations Support
Support production scheduling by coordinating with supervisors and tracking job progress.
Maintain accurate records for shipments, work orders, and production logs.
Communicate order updates to customers and vendors.
Purchasing & Inventory Coordination
Assist with ordering materials, supplies, and equipment for both office and production needs.
Track purchase orders, delivery schedules, and vendor performance.
Finance & HR Assistance
Process invoices, expense reports, and basic bookkeeping tasks.
Support payroll preparation by collecting and verifying timekeeping data.
Assist with onboarding new employees, maintaining personnel files, and coordinating training schedules.
Qualifications
Previous experience in office administration preferred.
Strong organizational and multitasking skills.
Proficiency with Microsoft Office and familiarity with ADP payroll system (preferred).
Excellent written and verbal communication skills.
Ability to work independently and collaboratively.
