International Recovery Systems is seeking a detail-driven Fleet Coordinator to support our multi-market fleet operations and DOT Compliance program. This is an independent, hands-on role that gives you ownership of day-to-day fleet processes such as vehicle records, maintenance tracking, equipment assignments, and compliance documentation. All while working closely with field managers and senior leadership to build structure and help shape how our fleet program operates as we continue to grow.

Responsibilities
- Maintain accurate fleet records, including vehicle details, maintenance history, mileage, and equipment assignments
- Track and manage inventory of parts, cameras, and supplies across multiple locations
- Monitor DOT-related requirements such as driver qualification files, medical cards, and inspection intervals
- Organize and maintain digital records in systems like Fleetio, Samsara, and Third Eye (training provided)
- Order, receive, assign, and document parts, cameras, keys, and equipment across multiple locations
- Coordinate with field managers, drivers, and vendors to resolve fleet and compliance needs in a timely manner
- Support vehicle onboarding and offboarding, including equipment setup, documentation, and transfers
- Review system alerts and compliance notifications and follow up proactively to keep all items current
- Prepare reports and documentation for senior leadership, audits, or compliance reviews
- Identify gaps or inefficiencies in fleet or DOT workflows and recommend process improvements
- Maintain organized, accurate, audit-ready files that support multi-market fleet and compliance operations
Requirements
- 1 year of experience in fleet, dispatch, logistics, or a vehicle-focused support role
- Strong organization and follow-through skills
- Clear MVR
- Comfort with digital systems and willingness to learn tools like Fleetio and Samsara
- Familiarly with DOT Compliance
- Clear communication skills and the ability to collaborate across departments
- Strong sense of accountability and time management
- Familiarity with vehicle maintenance, service tracking, or parts inventory is a plus
