What You'll Do

This position is a full-time permanent position in a manufacturing environment. This position will be responsible for assisting in the manufacturing of charitable and lottery gaming products, including pull-tab tickets (break-open tickets), bingo paper and bingo dabbers.

As the Administrative Assistant I, you will play a vital role in ensuring the efficient operation of the assigned department(s) by performing a variety of clerical, administrative, and financial support tasks. This role requires exceptional organizational skills, attention to detail, and the ability to manage confidential information.

The ideal candidate will have 3 to 5 years of administrative experience with a strong foundation in clerical procedures, recordkeeping, invoicing, and financial transactions such as accounts payable and receivable. The candidate should be proficient in Microsoft Office Suite, possess strong mathematical skills, and thrive in a fast-paced, high-volume environment while managing multiple priorities.

Additional Duties and Responsibilities Include:

Front Desk & Communication Management

  • Serve as the first point of contact for visitors, clients, and employees, ensuring a professional and welcoming office environment.
  • Manage front desk operations, answer and direct phone calls, and screen calls when necessary.
  • Respond to and resolve administrative inquiries and questions in a timely manner.

Administrative & Clerical Support

  • Maintain organized filing systems, both physical and digital, ensuring records are easily accessible for audits and future reference.
  • Order and track office supplies, maintain office inventory, and coordinate maintenance needs to support a comfortable work environment.
  • Assist Human Resources with administrative tasks, including processing paperwork and coordinating new hire documentation.

Financial & Accounting Support

  • Assist with accounts payable and receivable, ensuring timely and accurate processing of transactions.
  • Compile, sort, and file invoices, checks, and financial transaction documents to maintain accurate records.
  • Work with appropriate departments to resolve pricing or receipt discrepancies and communicate effectively with vendors regarding payment issues.
  • Accurately record invoice payments and maintain digital financial transaction records.
  • Prepare and distribute daily sales, production, and financial reports to support decision-making.
  • Keep supervisors informed about accounts payable/receivable matters and other financial concerns.

Operations & Process Improvement

  • Identify and implement opportunities to enhance office efficiency and workflow.
  • Assist in coordinating meetings, preparing agendas, and taking minutes when necessary.
  • Ensure compliance with company policies and handle confidential information with the highest level of discretion.
  • Support special projects and perform other duties as assigned.

What You'll Need

  • High School Diploma or GED required.
  • Associates degree preferred, will consider equivalent work experience.
  • 3 to 5 years of experience in an administrative-type role with a basic understanding of clerical procedures and systems such as recordkeeping, filing and invoicing comfort with high volume of data entry and be self-driven to complete routine/repetitive tasks and general accountant (accounts payable transactions and accounts receivable) and strong mathematical skills.
  • Proficiency in Microsoft Office Suite.
  • Excellent written and verbal communication skills with the ability to interact professionally with employees, clients, and vendors.
  • High energy personality with excellent interpersonal and customer service skills.
  • Honesty and integrity are essential - must have ability to handle highly confidential information.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to perform in a fast-paced environment with priorities and deadlines changing regularly.
  • Highly organized, self-motivated individual who can work independently and in a diverse environment.
  • Keen attention to detail.
  • Ability to work well in a diverse environment.

Additional Requirements:

  • Must be a U.S. Citizen or Green Card holder (sponsorship is not available).
  • Ability to pass a background check and pre-employment drug screening.
