Overview
This position is Monday-Friday from 8:00 am to 4:30 pm CST. This position is currently budgeted at $19.00 hr.
The Inbound Coordinator is responsible for ensuring accurate and timely processing of all inbound shipments into the Distribution Center. This role manages vendor deliveries, verifies purchase orders in Oracle Fusion and WMS, and ensures materials are correctly received, labeled, and stored to support efficient production and outbound operations. The Inbound Coordinator plays a key role in maintaining receiving accuracy, vendor accountability, and continuous improvement within the supply chain process.

Key Responsibilities
Receiving Operations
- Validate inbound shipments against Oracle Fusion purchase orders and freight documents.
- Record receiving transactions in Oracle WMS using handheld scanners.
- Identify and escalate discrepancies (missing, damaged, or over-shipped items) to the Purchasing team.
- Coordinate with vendors and carriers to resolve delivery issues or shortages.
- Ensure all received materials are properly labeled, palletized, and stored according to warehouse standards.
- Support daily reconciliation of “Pending Putaway” queues.
Returns and Reverse Logistics
- Process and validate vendor returns and defective materials in Oracle Fusion.
- Create and manage return authorizations (RMA) following established vendor guidelines.
- Coordinate shipment of defective or excess material back to vendors and confirm credit processing.
- Partner with Purchasing to address recurring vendor noncompliance or quality issues.
- Maintain clear records of all return and discrepancy resolutions.
Administrative & Process Support
- Maintain up-to-date inbound logs, freight receipts, and variance tracking.
- Support cycle count accuracy by validating inbound quantity discrepancies before storage.
- Contribute to process improvement projects (e.g., receiving dock flow, staging optimization, carrier scheduling).
- Assist in maintaining OSHA and corporate compliance standards (hi-vis, PPE, no personal bags on floor).
- Collaborate cross-functionally with Purchasing, Outbound, and Field Operations teams to improve inbound throughput.

Qualifications
- Warehouse or supply chain experience, in a distribution center environment preferred.
- Experience with Oracle Fusion, Oracle WMS, FileBound, preferred.
- Proficient with handheld scanning technology and barcode processes.
- Strong analytical and communication skills for cross-department collaboration.
- Ability to lift up to 50 pounds and work in a fast-paced environment.
- Strong attention to detail, accuracy, and process ownership.
- Basic proficiency in Microsoft Excel, Outlook, and internal reporting tools.
