We are modernizing our platform, integrating AI capability and transforming our operational and growth marketing technology stack. We need a program-minded leader who can also execute project details at ground level.
Role Overview
This role is a hybrid Program Manager / Project Manager, ideal for someone who can think strategically across multiple initiatives while also driving day-to-day execution.
You will lead program-level oversight (software engineering, AI development, compliance automation, operational execution, growth marketing initiatives, , and change management) while also directly managing project-level tasks, sprint plans, issue tracking, meeting cadences, and documentation workflows.
This person will help shape how IntellxxDNA coordinates complex interconnected work across Product, Engineering, Research, Operations, Compliance and Marketing/Sales, as well as managing granular progress for key projects.
Key Responsibilities
Program Leadership (Strategic, Multi-Initiative)
- Oversee interconnected initiatives across Product, Engineering, R&D, Compliance, Marketing, and Operations to ensure program-level alignment with company goals.
- Build and maintain integrated roadmaps, high-level sequencing, cross-team dependencies, and resource considerations.
- Facilitate weekly executive alignment meetings with CEO/CMO/Operations to ensure clarity on priorities, risks, and strategic decisions.
- Create governance artifacts, integrated timelines, dependency maps, risk dashboards, and cross-workstream communication plans.
- Translate executive vision into structured, multi-quarter program plans and actionable cross-functional initiatives.
- Ensure program-level visibility, communication, and documentation across all teams.
- Lead the shift to automated HIPAA compliance
Project Management (Execution, Detail, Delivery)
- Develop and manage project charters, scopes, timelines, schedules, and task plans for key initiatives.
- Organize and lead weekly project meetings; drive accountability, task clarity, sprint planning, and blocker removal.
- Facilitate daily engineer/AI stand ups
- Conduct post-mortems and own the implementation of improved processes and procedures.
- Maintain project documentation including decision logs, status reports, requirements, testing automation, and release notes.
- Coordinate with engineering on backlog refinement, sprint cycles, QA planning, and SDLC documentation.
- Manage risks and issues proactively; escalate as needed to maintain program and project timelines.
- Deliver weekly and monthly reporting that aggregates project-level detail into program-level insights for leadership.
Cross-Functional Coordination
- Serve as the central communication hub across product, engineering, R&D, operations, compliance, marketing, clinical education, and sales.
- Coordinate work with external vendors, contractors, engineering partners, design teams, and compliance vendors.
- Support operational and workflow improvements alongside the Operations team (e.g., SOPs, training, documentation, resource planning).
- Assist with readiness processes: HIPAA, SOC2 controls, operational system migrations and customer support tooling
Strategic & Operational Support
- Connect product redesign to clinician education, partner workflows, launch sequencing, and internal adoption.
- Support leadership with structured program communication, dashboards, and decision frameworks.
- Help formalize IntellxxDNA’s emerging program management framework, tooling, and governance practices.
Qualifications
Required
- 5 years of project or program management experience in health-tech, SaaS, clinical data, EHR/CDS, or other regulated technology environments.
- Strong experience managing both strategic multi-initiative programs and detailed execution-level project work simultaneously.
- Deep familiarity with SDLC, Agile/Scrum, backlog processes, and technical delivery timelines.
- Exceptional communication skills, comfortable presenting to executives and translating complex details.
- Demonstrated ability to manage cross-functional initiatives with interlocking dependencies.
- Strong organizational skillset with discipline around documentation, tracking, and structured execution.
- Experience with project management tools such as Jira, Asana, Monday.com, Smartsheet, or equivalent.
- Experience in HIPAA-regulated or compliance-heavy environments.
Preferred
- Experience in clinical decision support, genomics, precision medicine, or clinician-facing health-tech workflows.
- Program management certification (PMP, PgMP) or relevant advanced training.
- Experience managing both internal teams and external vendors.
- Prior experience supporting system migrations (CRM, help desk, analytics, Vanta/SOC2, etc.)
- Familiarity with functional/integrative medicine and clinician behavior patterns.
- Experience building conversational AI, search, and recommender systems
- Deep fascination with AI with experience using it to automate process and improve the quality of requirements gathering and executive communication
- Previous experience as a software engineer
