Job Summary
We are seeking a reliable, organized, and friendly Administrative/Personal Assistant to be the first point of contact for our office and to support our marketing field execution. This role is split between front-desk office support and scheduling, onboarding, training, and day-to-day coordination of our flyer distribution field team.
Key Responsibilities
Office Assistant (Front Desk and Office Support)
- Greet walk-in clients in a professional and friendly manner
- Perform general office duties such as data entry, filing, and email correspondence
- Support the office team with administrative tasks as assigned
- Maintain the office by keeping common areas organized and presentable, restocking office supplies, and reporting any maintenance needs
- Keep the break area stocked and organized; maintain office plants (basic watering and upkeep)
- Run errands for the office as needed (supply runs, pick-ups, and drop-offs)
- Handle incoming and outgoing packages, including coordinating shipments and pickups with UPS and other carriers
- Occasionally Personally Assist the owner(s) to move large vehicles; ability to drive and park a truck and other large vehicles is a major bonus and preference will be given
Scheduler (Field Team Management and Marketing Execution Support)
- Onboard and train flyer distributors on expectations, safety, route procedures, and how to report completed work
- Build and maintain weekly and daily schedules for the flyer distribution team based on marketing priorities and field capacity
- Coordinate with the marketing team on coverage areas, timing, and campaign instructions to support field execution
- Assign routes and communicate start times; confirm availability and completion expectations
- Track progress and quality, including call-outs and incomplete routes, and reassign work as needed to keep campaigns moving
- Maintain organized records for field staff and completed-work tracking and provide updates to the internal team as needed
Qualifications
- Previous experience in scheduling, reception, office administration, or team coordination preferred
- Strong communication and customer service skills
- Excellent organizational and time-management abilities; dependable, detail-oriented, and able to multitask
- Comfortable using phones, computers, and scheduling software
- Required: reliable vehicle and willingness to travel between Davis County and Utah County as needed (mileage reimbursed)
- Bonus: experience training or managing field teams and/or ability to drive and park a truck and other large vehicles
