Essential Duties and Responsibilities
- Provide exceptional customer service to residents, families, and staff both in person and by phone.
- Answer and direct calls promptly and professionally.
- Prepare, edit, and distribute correspondence, reports, and other documents.
- Handle incoming and outgoing mail, email, and fax communications.
- Maintain organized employee and resident files while ensuring confidentiality.
- Assist with new hire paperwork, onboarding, and recruitment support.
- Support the resident admission process and help with applications for Special Assistance or Personal Care Services.
- Order and maintain office supplies and general administrative needs.
- Ensure compliance with company policies, procedures, and HIPAA regulations.
- Perform other clerical and office duties as assigned by the Finance and Business Office Manager.

Physical Demands
While performing the duties of this position, the employee is regularly required to sit, stand, walk, and use hands to handle or operate office equipment. The role involves frequent movement throughout the facility to deliver documents, interact with staff and residents, and support daily operations. The employee must occasionally bend, reach, or lift up to 25 pounds. Specific vision abilities required include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. A high level of attention to detail and manual dexterity are essential for handling paperwork and computer-based tasks.
