What are the responsibilities and job description for the PART-TIME Office Assistant position at Integrity Luxury Homes?

Our team is passionate about every detail, from initial design to final build, and we are looking for a driven Administrative Assistant to join our fast-paced office. If you have a background in administration & are tech savvy - we need you!

Key Responsibilities:

  • Provide administrative support to the office manager and construction team.
  • Organize incoming bids and upload them into Dropbox.
  • Take notes during meetings with clients.
  • Manage schedules, appointments, and communications.
  • Organize important documents, including contracts, permits, and client records.
  • Handle phone calls, emails, and customer inquiries professionally and promptly.
  • Maintain and manage general office organization.
  • Maintain confidentiality of all client information.

Qualifications:

  • Minimum 2 years of administrative experience is required.
  • Familiarity with the City of Scottsdale's Planning & Development website is a plus.
  • Familiarity with setting up the utility process for new builds with the construction departments at APS, Southwest Gas, Cox Cable, etc. is a plus.
  • Strong organizational and multitasking abilities with attention to detail, quality and timeliness.
  • Proven ability to manage multiple priorities and work independently within deadlines in a fast-paced, dynamic environment.
  • Excellent communication skills, both written and verbal.
  • Proficiency using MS Office including Word & Excel.
  • Strong confidence of Dropbox & Google Docs
  • Ability to work independently and handle a fast-paced work environment.
  • Experience in supporting multiple projects and prioritizing tasks efficiently.
  • Knowledge of construction terminology and processes is a plus.
  • High school diploma or equivalent.
