What are the responsibilities and job description for the PART-TIME Office Assistant position at Integrity Luxury Homes?
Our team is passionate about every detail, from initial design to final build, and we are looking for a driven Administrative Assistant to join our fast-paced office. If you have a background in administration & are tech savvy - we need you!
Key Responsibilities:
- Provide administrative support to the office manager and construction team.
- Organize incoming bids and upload them into Dropbox.
- Take notes during meetings with clients.
- Manage schedules, appointments, and communications.
- Organize important documents, including contracts, permits, and client records.
- Handle phone calls, emails, and customer inquiries professionally and promptly.
- Maintain and manage general office organization.
- Maintain confidentiality of all client information.
Qualifications:
- Minimum 2 years of administrative experience is required.
- Familiarity with the City of Scottsdale's Planning & Development website is a plus.
- Familiarity with setting up the utility process for new builds with the construction departments at APS, Southwest Gas, Cox Cable, etc. is a plus.
- Strong organizational and multitasking abilities with attention to detail, quality and timeliness.
- Proven ability to manage multiple priorities and work independently within deadlines in a fast-paced, dynamic environment.
- Excellent communication skills, both written and verbal.
- Proficiency using MS Office including Word & Excel.
- Strong confidence of Dropbox & Google Docs
- Ability to work independently and handle a fast-paced work environment.
- Experience in supporting multiple projects and prioritizing tasks efficiently.
- Knowledge of construction terminology and processes is a plus.
- High school diploma or equivalent.
