We are seeking a detail-oriented and proactive Facilities Engineering Documentation Specialist to support our clientβs Hillsboro, Oregon facility. This role is key to ensuring engineering records, commissioning documentation, and quality-related processes are maintained at the highest standards within an FDA-regulated environment.
π§ Responsibilities
- Administer and manage all Facilities Engineering records efficiently and in alignment with Client quality policies.
- Prepare, organize, and maintain documentation following established procedures.
- Support multiple departments with equipment and system documentation needs.
- Coordinate system implementation activities and generate required documentation.
- Identify and recommend process improvements to streamline workflows.
- Collaborate cross-functionally with Facilities Engineering, Quality, and partner teams across sites.
- Maintain clear and continuous communication with management, peers, customers, and counterpart staff.
- Manage all Turn-Over Packages (TOPs) and Commissioning Packages for site projects.
- Operate effectively within an FDA-regulated and cGMP-compliant environment.
- Take ownership of assigned tasks and drive positive change across the organization.
π Qualifications & Requirements
- Proficient in Enterprise Content Management (ECM) systems for engineering drawings, documents, TOPs, and commissioning records.
- Experience with FileMaker Pro and QualityDocs (EDMS) for maintenance documentation and change management.
- Advanced knowledge of ECM/EDMS tools to support Business Process Management for HTO.
- Skilled in creating and documenting workflow processes and routine tasks.
- Ability to support investigations, discrepancies, and corrective action documentation.
- Able to read, interpret, and produce Facilities Engineering documentation.
- Strong understanding of cGMP compliance.
- Excellent technical writing skills for reports, procedures, and document revisions.
- Proficient in Microsoft Office, especially Word.
- Ability to work independently with minimal supervision.
- Willingness to work overtime or adjust schedules to meet site needs.
- Ability to lift 50 lbs.
π Training Requirements
- Completion of required cGMP and Safety training per department policies.
- On-the-job training following established procedures.
π Education & Experience
- High school diploma or GED required; 1β3 years of related experience preferred.
- Proficiency with relational databases (MS Access, Oracle) and project management systems (TouchPoint, Condor, Trackwise, MS Project).
- Familiarity with SAP or similar CMMS programs.
- Strong computer skills, including advanced proficiency in Windows environments.
- Strong analytical, organizational, and problem-solving abilities.
- Excellent written and verbal communication skills.
