Staff Accountant

Primary Responsibilities

The Staff Accountant supports the daily accounting operations of Integrated Protection Services by ensuring accurate financial transactions, reconciliations, reporting, and internal controls across the organization. This role plays an important part in maintaining financial accuracy, supporting decision-making, and helping IPS operate efficiently as a growing multi-branch organization.

The Staff Accountant works closely with the Accounting Manager and transactional accounting team to ensure financial processes are completed accurately, deadlines are met, and financial information supports sound business decisions across the company.

This role also provides day-to-day oversight and support for transactional accounting roles and activities while identifying opportunities to improve systems, efficiency, and financial visibility.

Essential Functions

Accounting Operations & Transaction Oversight

• Support and oversee daily accounting transactions including journals, ledgers, and account coding to ensure accuracy and accountability of company financial data.
• Review and verify accounting entries within Sedona Office and related accounting systems.
• Ensure proper reconciliation of cash activity and daily accounting transactions.
• Assist in maintaining accurate general ledger activity across multiple accounts and departments.

Reconciliations & Financial Accuracy

• Prepare and review monthly bank reconciliations.
• Complete balance sheet account reconciliations to ensure accuracy of financial records.
• Ensure journal entries are accurate, timely, and properly recorded, including accrued and prepaid expenses.
• Assist in identifying discrepancies and resolving accounting variances.

Accounts Payable / Accounts Receivable Oversight

• Provide day-to-day support and coordination for transactional accounting functions including accounts payable, accounts receivable, and credit card processing.
• Assist in monitoring project job costing and internal financial coding accuracy.
• Support customer account review, credits, collections, and unapplied cash resolution.

Reporting & Financial Support

• Prepare financial reports and supporting schedules for management as requested.
• Assist leadership by providing timely and accurate financial information to support business decisions.
• Support monthly close processes and internal reporting deadlines.

Tax, Audit & Compliance Support

• Prepare state sales tax filings and assist with licensing-related financial requirements.
• Support fiscal year-end audit preparation and external review processes.
• Assist in maintaining organized documentation for audits and compliance needs.

Inventory & Process Improvement

• Assist with inventory counts, reconciliations, and financial review of inventory activity.
• Identify opportunities for improvement in systems, efficiency, cost containment, and financial processes.
• Recommend practical process improvements that support company growth and accuracy.

Team Support & Collaboration

• Oversee and provide guidance and daily coordination support to transactional accounting team members, including accounts receivable, accounts payable, and office support roles.
• Communicate clearly and professionally with internal teammates, vendors, and customers.
• Support accounting team priorities in a collaborative, solution-focused environment.

Qualifications

Required Qualifications

• Bachelor’s degree in Accounting preferred; equivalent experience considered.
• 1–3 years of accounting experience preferred.
• Strong understanding of accounting principles and financial processes.
• Strong Excel skills and comfort working in accounting systems.
• High attention to detail and organizational ability.
• Strong problem-solving and analytical skills.
• Ability to manage multiple priorities and deadlines.
• Strong written and verbal communication skills.

Preferred Qualifications

• Experience with Sedona Office or similar accounting software preferred.
• Experience supporting AP, AR, reconciliations, and financial reporting.
• Exposure to construction, service, or project-based accounting environments preferred.
• CPA not required.
