Job Overview

We are seeking an experienced Healthcare Scheduler to support four high-volume Maternal Fetal Medicine clinics at Inova Fairfax Hospital. This role focuses on coordinating complex appointments for high-risk pregnancy patients across multiple locations, ensuring timely scheduling of physician consultations, ultrasounds, nurse visits, genetic counseling, and other specialized services.

The ideal candidate has at least two years of healthcare scheduling or patient access experience, strong Epic proficiency, and the ability to manage high call volumes in a fast-paced healthcare environment. Candidates should be comfortable working independently, navigating multiple computer systems, and coordinating complex scheduling needs with minimal training.

Key Responsibilities

• Schedule appointments across four high-volume, high-risk pregnancy clinics and multiple locations.
• Coordinate complex appointments involving physician consultations, ultrasounds, nurse visits, genetic counseling, and other specialty services.
• Manage high volumes of inbound calls in a call center environment while providing excellent customer service.
• Process incoming referrals, faxes, and supporting medical documentation.
• Review and update patient information accurately in Epic.
• Use Epic, NICE scheduling software, and Microsoft Teams to manage scheduling workflows and communicate with staff.
• Coordinate referrals and ensure patients are scheduled for the appropriate services.
• Support Patient Access leadership in promoting efficient department operations and achieving revenue cycle goals.
• Assist with front-line operational support and help maintain scheduling accuracy, productivity, and service quality.
• Apply sound judgment, problem-solving, and analytical skills to resolve scheduling challenges.

Required Qualifications

• Minimum of 2 years of healthcare scheduling or Patient Access experience.
• Epic experience is required and non-negotiable.
• Previous experience in a hospital, clinic, specialty practice, or healthcare call center.
• High school diploma or GED.
• Strong computer skills and the ability to navigate multiple systems simultaneously.
• Excellent communication, customer service, and organizational skills.
• Proven ability to make sound decisions, solve problems, and manage competing priorities.
• Ability to learn quickly, work independently, and perform with minimal training in a high-volume environment.

Preferred Qualifications

• Previous experience in a dedicated healthcare scheduling role.
• Experience using the NICE scheduling platform.
• Maternal Fetal Medicine, obstetrics, or other specialty clinic scheduling experience.
• Experience coordinating complex appointments, referrals, and multiple services for individual patients.
• Experience supporting Patient Access leadership, front-line staff, or revenue cycle operations.
