Office Administrator | Long-Term Opportunity
We’re seeking an experienced Office Administrator to support a large corporate office in Troy, NY as the primary administrative point of contact. This is a long-term opportunity with room for growth, ideal for someone who views administration as a career path and has experience supporting a fast‑paced corporate environment.
As a Workplace Office Administrator, you’ll play a key role in keeping office operations running smoothly by providing administrative support to employees at all levels, both on-site and remotely.
Essential Functions (but not limited to):
- Manage office supplies, inventory, and general office organization
- Coordinate facilities support, vendors, and building management
- Support Accounts Payable and procurement (data prep, invoice tracking, coordination with accounting - processing not included)
- Prepare the office, conference rooms, and catering for executive visits
- Provide administrative support to all levels of staff in the office including support of team/project/client meetings, communication, and coordination of activities in office or project site
- Assist with onboarding/offboarding, including I‑9 support, badges, and IT equipment coordination
- Support safety, compliance, document management, and project coordination as needed
- Serve as on-site liaison for basic IT, A/V, and facilities coordination
- Additional ad hoc administrative support duties that arise
Required Skills:
- 3 years of experience in an Office Administrator, Office Manager, or similar role within a mid‑ to large‑sized corporate office environment
- Invoicing experience, including PO tracking and submitting invoices for project vendors
- Ability to independently prioritize assignments with strong time management, attention to detail, and follow-through
- Experience with facilities management, including office supply ordering, inventory management, and vendor coordination
- Experience planning office events, catering, and company or holiday events
- Polished, professional demeanor with a warm and welcoming personality
- Tech savvy with strong Microsoft Office skills (Word and Excel, including creating spreadsheets from scratch), as well as MS Teams, Zoom, Slack, or similar tools
This is a contract‑to‑hire position, and only candidates able to commit to long‑term employment will be considered. Annual compensation ranges from $60K–$70K, based on relevant experience, plus benefits including health, dental, vision, and 401(k).
