Duties
- Manage and maintain executive calendars using tools like Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Provide comprehensive administrative support including data entry, filing, proofreading, transcription, and document management using Microsoft Office and other office software.
- Coordinate projects by tracking deadlines, preparing reports, and liaising with internal teams to ensure timely completion of tasks.
- Handle incoming calls with professionalism using multi-line phone systems and phone etiquette; screen and direct inquiries efficiently.
- Assist with event planning for company meetings, conferences, and special events—handling logistics, venue arrangements, and catering as needed.
- Oversee office management duties such as supply inventory, filing systems, front desk responsibilities, and maintaining a welcoming environment.
- Support bookkeeping activities using QuickBooks or similar software; manage invoices, expense reports, and basic bookkeeping tasks.
- Facilitate communication by transcribing notes, preparing presentations, proofreading documents, and managing correspondence.
- Utilize office technology including DocuSign for document signing processes while ensuring data security and confidentiality.
- Provide personal assistant support to executives by managing personal appointments or errands as required.
Skills
- Proven experience in executive administrative support or office management roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry systems.
- Excellent typing speed combined with strong proofreading and transcription abilities for accurate documentation.
- Skilled in event planning, project coordination, and handling multiple priorities simultaneously under tight deadlines.
- Knowledge of QuickBooks or similar bookkeeping software for financial record-keeping.
- Exceptional phone etiquette with experience managing multi-line phone systems; capable of professional communication at all times.
