Essential Duties And Responsibilities

Sedentary Work – Exerting up to 10 pounds of force occasionally(Occasionally: activity or condition exists up to 1/3 of the time) and /or a negligible amount of force frequently (Frequently: activity or condition exists from 1/3 to 2/3 of the time) to list, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
The Student Records Specialist will be expected to work a flexible schedule which may include day, evening, night, and weekend hours. Essential Duties And Responsibilities
Ensure compliance with recordkeeping standards and college policies and practices.
- Assist with the implementation of processes and procedures for the effective operation of the Record’s Office.
- Utilize Ellucian Banner student information system to provide accurate, efficient, and high-quality information, and reports, to faculty, students, and administrators.
- Assist the Registrar with running statistical reports as needed using Argos.
- Assist the Registrar with developing and implementing solutions to problems to enhance better operations in the Record’s Office.
- Review Clearinghouse reports identifying potential graduates through the Reverse Transfer processing.
- Assist with clean-up of error reports of the Clearinghouse.
- Research and identify duplicates and submit tickets to merge student records in banner.
- Prepare graduation list and awards each semester as well as promote honors in Merit pages.
- Assist in the coordination of the college commencement activities.
- Assist with reviewing Applications for Graduation.
- Develop and implement communication plan and communications with prospective graduates, including mail-merge, email and text communications.
- Help maintain DegreeWorks Degree Audit system and updating degree audits via Scribe.
- Assist with transcript articulation and evaluation of transfer credit.
- Keep current on upgrades in technology as related to the specific area and assignment.
- Provide optimal customer service including, but not limited to, courteous and responsive written and verbal communication.
- Assist in the preparation and process of conferring degrees/awards each semester as needed.
- Assist with updating and maintaining the Graduation page on the College’s website.
- Assist the college in maintaining compliance with FERPA guidelines pertaining to Student Records.
- Assist the Registrar with events and any other office duties as assigned.
- Work cooperatively with others while handling multiple and competing priorities with deadlines.
- Travel between campuses as workflow and assignments dictate.
- Perform other job-related duties as assigned by the Registrar or appropriate administrator.
Required Education, Standards, And Training
- Bachelor’s Degree required
- Ellucian-Banner Experience, preferred
- Five (5) years of full-time experience in an office setting
- Experience with Excel Spreadsheets, dynamic forms, and merging documents
- Must be able to work a flexible work schedule to include evening hours.
- Ability to work with Excel reports and merge data using Microsoft Word
- Excellent time management skills
- Knowledge of filing processes, records management, and general office procedures
- Excellent written and oral communication skills
