Position OverviewThis position processes engagement/tour requests for all groups visiting the Museum (K-12, University, Community), maintains corresponding records in the Museum database and calendar, crafts engagement reports, and provides support to Museum staff as needed, including the Welcome Desk, class, and community visit oversight in the galleries. - Receive and process tour requests for university and PreK-12 class visits as well as community group visits.
- Work with Education and Academic Programs staff to arrange class and community visits and schedule gallery guides.
- Confirm visit requests and maintain communications with group contact, docents, student ambassadors, and other involved Museum staff.
- Create tour records for the internal museum calendar and the museum database.
- Update and maintain museum database records.
- Prepare quantitative evaluation for semester and annual class and community visits, among other database analyses for university and community engagement with the Museum.
- Assist with set-up and clean-up for visits, such as coat bins, tour activities, as well as welcoming groups as needed.
- Attend docent and student ambassador training meetings on occasion.
- Assist with class and community visit oversight during non-public gallery hours as needed.
- Assist with the Welcome Desk as needed and schedule permits.
- Other duties as needed.
- Work history of managing and tracking multiple tasks simultaneously.
- Excellent communication, organizational, and interpersonal skills as outlined in the cover letter and/or interview and references.
- Basic computer skills (MS Office Suite, Word, and Outlook).
- Experience with database programs and data entry.
- Previous scheduling experience.
- Familiarity with the Spencer Museum of Art collection and programs.
- Familiarity with the University of Kansas and Lawrence communities.
- Highly detail-oriented.
- Verified Federal Work Study (FWS) eligible.
