Job Title:Senior Academic Program Services Specialist

Department:Arts and Sciences | French and Italian

The Department of French and Italian, within the College of Arts and Sciences, seek a Senior Academic Program Services Specialist to join our team. The Senior Academic Program Services Specialist is responsible for overseeing the daily administrative operations of the department, including hiring, assigning, training, scheduling, and supervision of student employees and ensuring appropriate coverage for front office reception area; planning, coordinating, and implementing undergraduate academic programs and administrative support for the Department of French and Italian (FRIT); collaborating with other departments to work on projects and identify best practices; representing the department and serving as a liaison to College and University offices; responding independently to inquiries from students, faculty and the public; providing administrative support to the department's chair, faculty, administrative staff and graduate associates/students and undergraduates; serving on the Undergraduate Studies and Events and Engagement Committees; managing websites for department and French Center of Excellence (CoE); preparing recruitment and publicity material; independently coordinating course scheduling process for the department each semester; communicating with undergraduate majors and minors; assisting faculty in oversight and development of the department's undergraduate curriculum and in preparing new courses for approval; communicating information on sensitive matters; providing enrollment statistics and reports regarding department course schedule; assisting faculty with event planning, publicity, and management for the department and French Center of Excellence; coordinating with participating in special projects as directed; and providing back-up coverage for other departmental Academic Program Services Specialists in Hagerty Hall.

Performance Objectives

  • Manage Operations: Ensure smooth daily department operations and front office coverage.
  • Supervise Student Staff: Hire, train, and manage student employees effectively.
  • Coordinate Programs: Plan and support undergraduate programs and initiatives.
  • Handle Scheduling & Curriculum: Manage course scheduling and assist with curriculum processes.
  • Provide Data & Reports: Track enrollment and share insights to support decisions.
  • Support Events & Outreach: Help plan and execute events and promotional efforts.
  • Maintain Digital Content: Update websites and create communication materials.
  • Collaborate Across Teams: Work with departments and support shared projects.

Minimum Education Required

Bachelor’s Level Degree or equivalent combination of education and experience

Required Qualifications

Required: Four (4) years of relevant experience. Knowledge of Microsoft Office. Demonstrated program planning and/or administrative experience.

Desired: Knowledge of OSU policies and procedures, experience with Student Information System/CARMEN and OSU procurement systems.

The pay for this position is $55,700.00 - $72,700.00. The offer for this position will fall within this range based on internal equity, unit's available budget, and the candidate's qualifications
