Position Summary
The Registrar is a key institutional leader, charged with overseeing all aspects of the Registrar’s Office, including ensuring the accuracy, security, and integrity of registration processes and official student academic records from registration to graduation. They must be strategic, detail oriented, and able to provide effective leadership in areas of policy development, operational procedures, and FERPA compliance. The ideal candidate is collaborative, student-centered, and committed to maintaining registration processes and policies that support student success, as well as institutional goals related to student retention.
Description Of Key Responsibilities
The Registrar must be committed to a standard of excellence in customer service for all. Accurate, timely, and personable communication with students is an expectation, as is the ability to provide services in a manner that is professional and supports successful completion of educational outcomes.
The Registrar provides leadership for academic records management, registration processes, and related student services, while ensuring the integrity of official academic records. The Registrar is the primary steward of academic records and degree certification for the College, and must be able to consistently apply College policy and convey decisions to students, success coaches, faculty and others in an informative and professional manner. The ability to effectively utilize technology to manage records and increase operational efficiency, as well as to implement strategies that improve the student experience is essential. The Registrar ensures compliance with federal and state regulations related to academic records. The Registrar position carries faculty status.
Education/Training
A master’s degree in higher education administration or related field is required.
Experience
A minimum of five years progressive experience in a Registrar’s office in higher education, which includes previous direct supervisory experience. Experience with Ellucian Colleague highly preferred.

Description Of Key Responsibilities
- Provide strategic leadership for the office of the Registrar, overseeing processes related to registration, grading, degree audit, enrollment verification, and degree conferral.
- Be responsible for the accuracy, security and maintenance of academic records while ensuring confidentiality and compliance with FERPA and other applicable regulations.
- Oversee registration processes for all students and in collaboration with the Associate Vice President of Academic Affairs, develop an academic class schedule that provides students with access to critical courses and supports timely student progress to degree.
- Direct the evaluation and auditing of student requirements for graduation and serve as the official degree certifying officer of the College.
- Manage the curriculum to include updating degree, major and minor requirements, and course offerings based on curriculum committee approvals each year, and collaborate with Academic Affairs to ensure compliance with accreditation requirements.
- Oversee the process for articulation of transfer credit, both domestic and international.
- Ensure timely collection and posting of roster verification, midterm and final grades to academic records and reports.
- Calculate and assign academic standing to undergraduate and graduate students in accordance with institutional and departmental policies, communicating assigned standing and associated ramifications with students.
- Lead the publication of college academic catalogs and be responsible for the issuance of official documents including transcripts and diplomas.
- Oversee the processes to verify student eligibility for veterans’ benefits and athletic participation.
- Responsible for verifying student eligibility to participate in Commencement and serving on campus Commencement Planning Committee, ensuring participant lists, assisting with commencement brochure preparation and program planning.
- Supervise the Registrar’s Office staff and student employees.
- Participate in faculty meetings, governance, and ad hoc committees as assigned.
- Oversee the budget for the Registrar’s Office.
- Work with the Associate Vice President of Academic Affairs to coordinate the College’s articulation efforts with other colleges.
- In collaboration with Academic Affairs and IT, provide operational management and oversight of the Student Information System and registration related interfaces.
- Handle statistical reporting related to registration, enrollment and student records for administration and outside agencies.
- Manage review of all prior learning assessment, including transfer credit and credit by examination.
- Other related duties as appropriately assigned.

- Knowledge and understanding of common registration data, an ability to complete common reporting tasks, and the skills necessary to compile, summarize, and analyze data. Previous experience with the Ellucian-Colleague student information system experience is strongly preferred.
- Knowledge and understanding of College operation and rules and regulations, particularly those that apply to registration, drop/add, degrading, and graduation requirements, and to apply this knowledge in a problem-solving manner.
- Ability to deal concurrently with several tasks and problems. This requires a person who is well organized, detail oriented, flexible and able to effectively prioritize tasks, often under the pressure of important deadlines.
- Ability to exercise strategic leadership in administering the Office of the Registrar, including the ability to select, train, monitor, assess and set goals for office staff and student workers.
- Ability to consistently demonstrate excellent interpersonal skills in dealing with persons both internal and external to the College. In particular, the ability to work effectively as a member of a small staff that relies heavily upon teamwork, cooperation, and shared responsibilities.
- Direct experience managing Veteran’s Benefits and Athletic eligibility processes is preferred.
- Understanding of the College culture and an ability to work effectively with faculty, department chairs, deans, staff, and other partners within the campus community.
- Ability to plan, organize, and successfully multitask and meet deadlines, and frequently new work tasks, within required timeframes.
- Proven flexibility to successfully work on a variety of projects quickly and accurately.
- Ability to communicate in the English language, both orally and in writing, in a manner consistent with professional standards.
