Job Summary

This position will provide coordination and administrative support for academic scheduling in instructional spaces for the Office of the Registrar. This position will interact on a regular basis with: Supervisor, associated staff, and students. This position typically will advise and counsel: the supervisor, associated staff, and students. This position will supervise: N/A.

Responsibilities

Job Duty 1 -

Assign classrooms for over 5,000 academic classes utilizing 170 centrally scheduled classrooms for all three academic terms and for related academic events that are scheduled in general classroom space as availability allows.

Job Duty 2 -

Serve as the primary point of contact for academic schedulers as it relates to classroom assignments and incoming inquires to the general academic scheduling email inbox.

Job Duty 3 -

Maintain accurate and timely information regarding classroom utilization using EMS/25Live, Banner, and other tools. Prepare and present related information using Excel, charts, graphs, and other media such as PowerPoint as needed.

Job Duty 4 -

Work closely with the Assistant Registrar of Academic Scheduling to schedule and facilitate meetings with classroom schedulers in the academic units to share information and review changes in policies and procedures.

Job Duty 5 -

Assist the Curriculum team with new and revised course structure proposals and questions as it pertains to Academic Scheduling.

Job Duty 6 -

Support other functional teams in the Registrar's Office as needed.

Job Duty 7 -

Perform other related duties as assigned.

Required Qualifications

Educational Requirements

Bachelor's degree or equivalent combination of education and experience.

Required Experience

Three to four years job related experience.

Preferred Qualifications

Preferred Qualifications

Experience in higher education, with specific familiarity using Banner web or experience in scheduling on a large scale.

Abilities

Knowledge, Skills, & Abilities

Experience with Academic Scheduling in a higher education setting. Experience with Student Information Systems (Banner, PeopleSoft). Experience with specialized Scheduling Software (EMS, R25, 25Live). Experience with section Scheduling Software (CourseLeaf Section Scheduler). Respects the confidentiality of protected student information, familiarity with FERPA. Demonstrated attention to detail and efficient multitasking in a fast-paced work environment. Strong interpersonal and keen communication skills, both written and oral, with a various group of contacts, both internal and external. Proven service excellence in coordinating and supporting service functions in a centralized office.
